Role

Practice Group / Department: General Counsel, Executive Support.

The role provides administrative support to the General Counsel & Risk function, handling routine administrative tasks and ad-hoc projects.

The individual will support two Executive Assistants of the function.

Responsibilities

  • Administrative support for routine requests from the team.
  • Assist with managing requests submitted through Service Now.
  • Organise meetings, including those involving different time zones.
  • Set up mailboxes and maintain team distribution lists.
  • Maintain the database of documents on i Manage.
  • Assist with travel costings and arrange travel as required.
  • Coordinate printing jobs and liaise with the London printing team.
  • Support document-related tasks such as PDF formatting, amending and redaction, document comparing for file reviews and investigations.
  • Create team agendas for team meetings.
  • Assist in preparing Power Point presentations for team meetings, trainings, or other presentations.
  • Process invoices and expenses.

Person Specification

  • Strong communication, organisational and administrative skills.
  • Time management and prioritisation skills.
  • Attention to detail; proofreads all work for spelling, grammar and consistency.
  • Proactive approach and ability to work independently.
  • Willingness to learn and develop skills; positive attitude and interest in the work.
  • Maintain confidentiality, discretion and personal sensitivity in all aspects of the role.
  • Key Skills and Experience
  • Intermediate user of Microsoft Word, Microsoft Outlook and Microsoft Power Point; willing to undertake training to improve relevant skills.
  • Administrative experience in a busy environment is essential.
  • Good level of numeracy and good English language and grammar skills.
