Salary: £25,000 - £32,000

Our client is a prestigious specialist law firm based in Marlborough, known for its high standards, client-focused service and collaborative working environment. They are now seeking a capable and organised Administrator to support the smooth day-to-day running of the office and provide both administrative and legal secretarial support to the legal team.

Role & Responsibilities

  • General Office Support
    • Answer calls, manage shared inboxes, schedule meetings and maintain office calendars
    • File, scan, copy and prepare routine documents, letters and correspondence
    • Monitor supplies and liaise with service providers
  • Legal Secretarial Support
    • Provide day-to-day secretarial support to fee earners, including diary management, appointments, meetings and key deadlines
    • Prepare, format, proofread and amend correspondence, forms and legal documents, including work from templates or digital dictation
    • Produce document bundles and client packs, arrange signatures and ensure papers are filed and circulated correctly
    • Liaise professionally with clients, counsel, courts and other third parties, taking accurate messages and progressing routine queries
    • Assist with time recording, billing, expenses and other matter-related administration
  • File & Data Management
    • Open, maintain and close client files and keep the Practice Management System up to date
    • Maintain accurate, GDPR-compliant records and complete conflict, identification and file-opening checks as required
  • Team & Client Support
    • Provide flexible administrative cover across the team during busy periods and colleague absence
    • Greet clients, prepare meeting rooms and assist with office hospitality
  • Conduct & Compliance
    • Handle all client information and documentation with strict confidentiality
    • Uphold the firm's professional standards and follow internal procedures

Qualifications: Key Requirements

  • Education & Experience
    • Minimum GCSE English and Mathematics (or equivalent)
    • Previous experience in office administration or legal secretarial support, ideally within a law firm or professional services environment
  • Skills & Attributes
    • Strong organisational skills with the ability to multi-task and manage time effectively
    • High attention to detail, strong proofreading skills and accurate document production
    • Confident using Microsoft Office, digital dictation and able to learn new systems quickly, including case or practice management software
    • Professional, discreet, and approachable with strong communication skills
    • Works well under pressure and adapts to changing priorities
    • Positive, proactive, and a team player
