Receptionist
Location: Novus Head Office Stoke on Trent, ST1 5SH
Hours: Part time hours Monday - Tuesday 8.00am-5.00pm, Wednesday AM 8.00-12.00pm, 20 hours per week – job share 2 1/2 days each – Must have flexibility to cover full time for holidays and sickness on an ad hoc basis
As a Receptionist for Novus, you are the face of our business to all incoming visitors at our Central Support office in Stoke on Trent. Your role sits within the wider team of Executive Assistants and PAs who support our Board of Directors and wider business and operations.
A customer centric role, sitting front of house, ensuring every interaction you have with clients, customers or visitors are of a high standard, and dealt with in a professional and efficient manner. Additionally you will support the central services departments as a key point of contact to assist them with administrative duties, providing flexible and adaptable approach to the needs of the business and wider team.
Responsibilities
- Responsible for the smooth running of front of house
- Handle all incoming calls and direct to correct department or team where required
- Manage all travel and accommodation bookings for the business
- Oversee room bookings at the central support office and organise refreshments as required
- Manage the department, including stationery, kitchen stocks, building suppliers, cleaner stocks
- Reconciliation of credit card spend
- Key holder responsible for the building opening/locking of reception
- Promote the department for central admin resource, manage workload, implement best practice methods and provide an efficient service
- Work closely with the PA and Exec team to support with highly confidential materials and assist the Directors where necessary
- Support with the co-ordination of hospitality events, within budget
- Manage the building facilities, problem solving repairs as required
- Sort out incoming mail and distribute and prepare all outgoing post
About You
The successful Receptionist will be experienced in a similar role giving you the knowledge and understanding of the balance required within the role and the organisational skills to manage incoming visitors and day to day administration tasks. You will have a customer focused approach, excellent attention to detail, confident to problem solve in a customer facing environment and an enthusiastic attitude.
