As the London-based settlements representative, you will work with a high degree of independence, acting as a key link between the London operations team and the global accounting team, while balancing business needs with appropriate settlement controls. You will support the accurate and timely settlement of physical trading activity, ensuring transactions are well documented and aligned with internal accounting practices. Building strong, professional relationships with customers is an important aspect of the role, including providing timely and accurate invoicing and account statements. The role involves proactively identifying and helping resolve discrepancies, understanding when to escalate issues, and working closely with operations and traders. Regular coordination with the Houston-based team and global stakeholders across time zones is essential to maintain consistency and alignment across the organization. You will report to the Settlements Manager based in Houston, Texas.

What you will do:
- Work closely with Operators to finalize AR and AP invoicing (review contracts, INCOTERMS, inspection reports, and other related cargo documents).
- Generate and reconcile invoices in trading system (Allegro), send invoices to counterparties, track payments, and follow up as needed.
- Act as a control function over trade settlements, ensuring all transactions are accurate, complete, and supported by appropriate documentation.
- Independently review and challenge inputs from Operations where discrepancies or risks are identified, prioritizing accuracy and compliance over speed.
- Resolve discrepancies communicating timely with internal and external stakeholders in order to process payments.
- Prepare statement of accounts for specific business customers.
- Assist with invoice administration, ensuring timely and accurate filing of invoices and supporting documentation.
- Prepare/generate ad-hoc reports from Sun Systems for periodic internal and external use.
- Reconcile inventory monthly comparing EOM statements to trade/accounting systems.
- Maintain clear and auditable records of all settlement’s activity, ensuring documentation is complete and organized.
- Provide ideas to streamline processes and improve efficiency within the settlements function.
- Gather supporting documents for close, audits and financial statement preparation.
- Perform additional duties as assigned and participate in special projects as required.
