Location: Cleckheaton

Salary: £27,000–£33,000 per annum, dependent on experience

Hours: Monday to Friday, 8:00am–4:30pm

Novara People is recruiting for an organised and proactive Project & Operations Administrator to join a busy, project-led business. This is a varied office-based role supporting project delivery, operational coordination and day-to-day administration, with occasional flexibility needed during particularly busy project periods.

You will be a key point of contact for internal teams, clients, suppliers, freelancers and site crews. You will help ensure projects are planned, documented, resourced and delivered efficiently, while maintaining high standards of communication, administration, health and safety, and quality.

Key responsibilities:

  • Support project planning, scheduling, documentation, reporting and change control.
  • Attend project meetings, take minutes, track actions and escalate issues where needed.
  • Set up, maintain and archive project files, drawings, job information and records.
  • Raise and amend purchase orders; collate delivery notes and paperwork for payment processing.
  • Book suppliers, consultants, freelance staff, crews, transport, accommodation and other job requirements.
  • Maintain crew documentation, including CVs, qualifications, training records and approvals.
  • Support the preparation of briefs, proposals, technical documents, RAMS and COSHH documentation.
  • Assist with project costings, supplier research, material samples, venue searches and logistics.
  • Manage job information through project-management software, including client contacts and job descriptions.
  • Provide clear project updates and support the monitoring of progress, quality and performance.
  • Coordinate diaries, holidays, internal meetings, travel, training and client refreshments.
  • Answer calls, welcome visitors, manage deliveries and maintain a professional reception area.
  • Support general office administration, including filing, archiving, stock control, stationery, first-aid supplies and internal notices.
  • Help maintain policies, procedures, company documentation and brand consistency.
  • Promote safe working practices, report hazards or equipment concerns promptly, and help maintain a clean, tidy workplace.
  • Support business-development activity, including follow-up meetings and continuous improvement initiatives.

Skills:

What we’re looking for:

  • Previous experience in project administration, operations coordination, office management or a similar role.
  • Strong organisational skills, with the ability to manage competing priorities and deadlines.
  • Confident communication skills and a professional approach when dealing with clients, suppliers and colleagues.
  • Good attention to detail, particularly when managing documents, purchase orders, records and schedules.
  • Comfortable using Microsoft Office, Google Calendar/Teams and project or business-management systems.
  • A practical, hands-on approach and willingness to support a variety of office and project-related tasks.
  • Awareness of health and safety documentation, such as RAMS and COSHH, would be an advantage.
  • A full clean UK driving license and valid passport are required for the role.
