The Administrative Assistant is responsible for assuring all clerical duties are performed accurately with attention to assisting patients, staff, and physicians in a courteous manner. Participates in the financial success of the facility in regards to the registration of each patient, collection of monies as applicable, and medical record management. The employee should have a full understanding of all medical record documentation including the chart audit and the completion process to maintain compliance with state, federal, and accreditation standards and regulations. Works in collaboration with other team members to manage all telephone calls and processing of medical records requests. The Administrative Assistant will also assist the staff with transporting of patients and equipment, assists with preparation of the operating room and preâop/PACU, and properly cleaning of any area of the facility according to policy and procedures.
Job Duties & Responsibilities
- Chart Composition is accurate and completed prior to patient's visit evidenced by monthly audit of the Business Office Manager.
- Decrement medical supplies & reconcile supplies used on patient accounts.
- Participates with general filing of all medical record documents to foster a teamwork approach.
- Assists with preparing outgoing mail and other clerical duties as requested.
- Retrieves and copies medical records as requested in a timely and efficient manner according to facility policy.
- Assures linen and basic supplies are stocked daily and according to established PAR levels.
- Assists Materials Manager or Purchasing clerk with receiving and storing of all supply orders.
- Confirm that all implants are recorded accurately and the cost is accounted for by patient.
- Work directly with Materials Manager to ensure all medical supplies are included on the patient charts and that costing is accurate.
Qualifications
- High School graduate
- Prior experience in medical record management preferred
- Ability to relate and work effectively with others
- Demonstrated verbal and written communications in English
- Demonstrated computer skills in utilizing word processing, integrated database, and understanding of mathematical calculations and medical terminology
- Proficiency using and knowledge of computers and patient accounting systems preferred
