About the Role

As an Administrative Assistant, you'll play an important role in supporting the daily operations of our business. Working closely with the Administration & Contracts Manager, you'll provide administrative support across finance, purchasing, dispatch and general office activities while helping to maintain efficient processes and excellent service for both internal and external stakeholders.

This is a varied role offering exposure to multiple areas of the business, making it an excellent opportunity for someone who enjoys working in a collaborative environment and is eager to develop a broad administrative skill set.

About the Team

You'll join a friendly and supportive administration team that works closely with colleagues across the business to support approximately 15 employees on site. Collaboration, open communication and a willingness to help each other are central to the team's culture. You'll receive structured onboarding, hands-on support and ongoing coaching, including full training on our ERP system.

Responsibilities

  • Provide administrative support to the Administration & Contracts Manager and the wider business.
  • Create and process purchase orders in accordance with company procedures.
  • Assist with supplier invoice processing and resolve routine invoice queries.
  • Support accounts receivable activities by following up on outstanding customer invoices.
  • Prepare invoices for monthly service contracts and ad hoc service work.
  • Support finance administration, including maintaining records and assisting with period-end activities.
  • Prepare dispatch documentation for domestic and international shipments.
  • Maintain accurate customer and supplier records within company systems.
  • Coordinate incoming correspondence and maintain electronic filing systems.
  • Provide reception and telephone support, ensuring a professional and welcoming experience for visitors and callers.
  • Order office supplies and assist with general office administration.
  • Carry out other reasonable duties as required to support the business.

Qualifications

Essential Qualifications

  • 5 GCSEs (A*–C / Grade 4 or above), including English and Mathematics, or equivalent qualifications.
  • Strong organisational skills and excellent attention to detail.
  • Good written and verbal communication skills.
  • Proficiency in Microsoft Office applications, particularly Excel and Word.
  • Ability to manage multiple priorities and work independently.
  • Strong time management skills with the ability to meet deadlines.
  • A proactive, flexible and solution-oriented approach to work.
  • A collaborative attitude, positive mindset and willingness to learn new systems and processes.

Preferred Qualifications

  • Experience supporting finance administration or purchase order processing.
  • Knowledge of basic accounting principles.
  • Experience using ERP systems, particularly for purchase order and invoice processing.
  • Experience within a manufacturing, engineering or industrial environment.
  • Previous experience in an administrative or office support role.
