JOB DESCRIPTION

About the Role

As an Operations Administrator at NOV Downhole, you will provide vital support to the workshop, operations, and sales departments. This role would entails document control, coordinating procurement of parts from the internal supply chain to ensure stock levels are maintained and readily available for tool builds and sales orders and a key focus of the role will be Imports/Exports and Inventory Management. You will work extensively with the JDE system to manage order details, coordinate with global NOV locations, and arrange freight and customs clearance for both air and ocean shipments. Your attention to detail, knowledge of customs regulations, and ability to manage processes in line with NOV's Quality, HSE Policies, and Compliance Procedures will be critical to success in this position.

Key Responsibilities:

Essential Responsibilities:

  • Maintain accurate data in JDE Inventory Management and Procurement systems.
  • Coordinate with workshop personnel to process service ticket requests and release parts from global inventory.
  • Manage imports and exports, including customs clearance, compliance with international regulations, and accurate documentation in TradeDocs.
  • Ensure stock levels are accurate by issuing and downdating parts, expediting international orders, and receiving shipments.
  • Produce timely Intrastat reports for EU movements, dispatches, and arrivals.
  • Support finance processes by receiving purchase orders, processing internal labour charges, and closing work order charges.
  • Assist in updating inspection reports, document control, and data cleanup projects.
  • Actively participate in HSEQ initiatives, observation reporting, and continuous improvement activities.

Desired Responsibilities

  • Provide proactive support to asset and inventory managers on system projects.
  • Participate in training and NOV's Downhole Competency System.
  • Assist with general workshop duties as required.

Qualifications & Skills

Essential Qualifications:

  • Standard Grade Level of Secondary Education or equivalent.
  • Technical qualification relevant to operations or inventory management.
  • Previous experience in a similar role.
  • Experienced user of JDE or similar ERP Inventory Management System.
  • In-depth knowledge of EU customs regulations.
  • Proficiency in Microsoft Office applications.
  • Strong communication skills.
  • Formal training in customs and NOV systems (TAT, JDE).

Desired Qualifications

  • Experience with NOV Downhole TAT and JDE systems.
  • Knowledge of freight forwarding processes and international logistics.
  • Formal ERP systems training.
