A hands-on IT Service Desk Laptop Refresh Coordinator to support a recurring monthly laptop refresh program covering 2,000+ employees across multiple offices. The role requires experience working across multi-offices and regions and the ability to operate comfortably at scale rather than in a single site setting. This is a delivery support/coordination role focused on data comparison, discrepancy logging, and routing between systems and teams (CMDB, Intune, Service Desk, IT Ops), plus maintaining trackers and supporting operational throughput.

Key Responsibilities

  • CMDB ↔ Intune Data Reconciliation
    • Run/produce regular extracts from CMDB and Intune (or additional provided exports) and compare device-to-user assignment fields.
    • Identify and log discrepancies (e.g., mismatched primary user, inactive device, duplicate records, missing serial number).
    • Validate refresh list against HR leaver information to identify devices assigned to leavers or pending recovery, and flag these for exclusion.
    • Create clear discrepancy tickets/records with supporting evidence and route to the correct resolver team (Service Desk / IT Ops / Asset team) for action.
    • Track discrepancy tickets through to closure; chase updates, elevate aged items, and maintain a clean audit trail.
    • Update trackers and/or CMDB records only after confirmation from the owning resolver team.
  • Service Desk / IT Ops Coordination
    • Coordinate with local/regional SD teams to obtain updates and closure confirmation on logged discrepancies.
    • Maintain a simple cadence (e.g., weekly) of open discrepancy review with resolver teams.
  • Refresh Cycle Support
    • Support compilation of office/location volumes for device ordering and fulfilment, ensuring numbers are based on confirmed, reconciled data.
    • Coordinate device ordering requests and raise orders with approved vendors, providing confirmed volumes, locations, and timing (does not negotiate commercials or contracts).
    • Track order status and deliveries (ordered, shipped, delivered, staged, issued) and reflect progress accurately in refresh trackers.
    • Liaise with Service Desk / IT Ops to confirm receipt of devices at offices or depots and flag delays, shortages, or mismatches against expected deliveries.
    • Create and maintain Jira tickets (or equivalent) that reflect confirmed volumes, order status, delivery milestones, and locations.
    • Escalate delivery risks or slippage that may impact monthly refresh targets.
    • Coordinate with SD teams to ensure scheduled refresh rollouts are completed as planned.
  • Data Administration & Quality Control
    • Ensure version control and cleanliness of trackers (consistent statuses, no duplicates, controlled edits).
    • Maintain a clear, repeatable “runbook” for the reconciliation + discrepancy workflow.

Required Skills & Experience

  • Comfortable working with CMDB records (querying/searching, updating fields, following change controls).
  • Familiarity with Microsoft Intune device records (finding devices, users, compliance/last check-in fields).
  • Strong Excel skills (filters, lookups, conditional formatting, basic data validation).
  • Experience with Jira (or similar) for logging and tracking work.
  • Strong organizational skills: able to track high volumes of records and follow through to closure.
  • Clear written communication (logging discrepancies so resolver teams can act quickly).
  • Must have worked on a multi-office or multi-region project and be comfortable thinking and operating at scale.
