As an Events Supervisor, you’ll be at the heart of delivering these experiences.

Working across our three campuses, you’ll support the planning, coordination and delivery of a diverse events programme, from club nights and live music to student-led events, private hires and major flagship experiences. You’ll take a lead role on event nights, coordinating staff, performers, security and contractors to ensure events run safely, smoothly and deliver an exceptional customer experience.

You’ll also supervise our student Events Assistant team, support rota planning and training, manage customer enquiries, oversee ticketing and event administration, and help maintain the high operational standards that make Trent Events successful.

What you’ll be doing

  • You’ll lead on event nights and supervise a team of student Events Assistants — covering rotas, customer service, ticketing, box office, cash handling and event administration.
  • Actively promote high standards of customer care in all operations, motivating and training staff to achieve objectives, together with event knowledge and job expertise.
  • Co‑ordinate Events Assistant shifts in liaison with the Deputy Events Manager to ensure weekly availability is completed by student staff, and produce a weekly rota.
  • Take a lead at events “on the night”, sharing responsibility for operational requirements and managing logistics as necessary, including coordination of Events Assistants, security, performers and event contractors.
  • Ensure event programmes, activities and promotions are designed to be inclusive, accessible and representative of the diversity of the NTU student community.
  • Monitor events to ensure a welcoming, respectful and inclusive environment, addressing barriers to participation or behaviours that may negatively impact students’ sense of belonging.
  • Ensure the integrity of financial systems, including training staff and monitoring their use of tills, making regular checks and acting to minimise discrepancies, errors, theft, fraud or dishonesty.
  • Co‑manage the Trent Events online ticketing platform, and contribute to creating and maintaining event content on our digital platforms — including websites and social media — always ensuring event information is accurate and up to date.
  • Manage the flow of customer queries via email, website and social media, providing excellent customer service while effectively handling complaints and incidents before, during or after an event, reporting upwards where appropriate.
  • Plan, prioritise, assign, supervise, review and participate in box office and cloakroom activity, including the set‑up and maintenance of event tills, cloakroom machines, physical tickets and merchandise, alongside managing lost property.
  • Engage in sustainable practices in the workplace, accepting and following sustainable office policies and procedures.

Secondary duties

  • Work with other venue staff to ensure events comply with all health & safety, licensing regulations and security requirements.
  • Attend regular team meetings, in particular to review events, plan for upcoming events and feed into the overall event programming process.
  • Collate, update and maintain guest lists for all Students’ Union entertainments, and communicate appropriately with affiliated promoters and venues.
  • Assist the venue team with lost property enquiries and secure storage.
  • Work tri‑campus as required during unsociable hours, including late nights and weekends.
  • Try new and sustainable practices, reducing the negative environmental impact of your work — especially waste and greenhouse gas emissions.

What we’re looking for

  • The ideal candidate will have experience working in an events environment, along with experience supervising or coordinating a team.
  • You’ll be a confident communicator with excellent customer service skills, a proactive approach and the flexibility to work evenings, weekends and late nights as required.
  • Essential: demonstrable experience working in an events environment.

  • Experience working in a nightclub or Students’ Union environment.
  • Experience of coordinating events following briefs and internal policy.
  • Strong computer skills using Microsoft Office, and numeracy skills with a high level of accuracy.
  • Excellent interpersonal skills, with the ability to communicate effectively with a wide range of people.
  • Strong leadership skills, a creative approach to problem‑solving, and a strong team player.
  • Reliable and flexible, with the ability to adapt quickly to change.
  • Excellent customer service skills and the ability to focus on customer experience.
  • Educated to degree level and/or experience relevant to the role, with knowledge of health & safety associated with running events.
  • Knowledge of student‑related events and trends, and an understanding of equality, diversity and inclusion principles and how they apply within events, customer service and student‑facing environments.
  • Desirable: experience managing an events team.
  • Experience considering accessibility requirements and making reasonable adjustments within an events environment.
  • Digital and/or physical marketing experience, and experience managing a commercial social media channel.
  • Ability to use Adobe Creative Suite, including Photoshop, Illustrator and InDesign.
  • Ability to use WordPress website software.
  • Qualifications related to event management, event production, hospitality, health & safety or first aid.
  • Holder of a Personal Licence, an SIA badge and/or a full driving licence.
  • Familiarity with sustainable office practices, and an understanding of what can be recycled on campus and how to recycle it properly.
