Role Overview:

The role of the Academy Recruitment Co‑ordinator is to coordinate all Academy trials and scouting logistics, ensuring the highest standards are maintained and that the experience for all stakeholders is overwhelmingly positive, in keeping with our Nottingham Forest values.

Key Tasks and Responsibilities:

  • Manage the before–during–after steps for the Academy Trial process from U9 to B‑Team.
  • Prepare thorough, detailed itineraries for Academy Trialists and their parents.
  • Be responsible for meeting and greeting trialists, their parents, agents, and any other stakeholders, acting as the main point of contact during the trial period.
  • Chaperone trialists for domestic and international travel when called upon and be available to act as the lead staff member for overnight hotel stays both domestically and internationally when required.
  • Collaborate with the SWEP Team to provide the highest standards of player care to all Academy Trial stakeholders.
  • Support the Academy Operations Team by sharing contact details to aid with collating all paperwork required by the Club for incoming U9‑B Team trialists and signings.
  • Ensure all elements of the Football iP system are up to date and correct for the Talent ID and Recruitment department.
  • Act as the main point of contact for all U9‑B Team Trialists, aiding players, parents, and staff, and managing any associated issues.
  • Support and in some cases lead the Academy Trial Review meetings, delivering age‑appropriate feedback and outcomes of the trials, with next steps clearly defined.
  • Maintain Trialist folders to keep all Academy trialists' documents readily available, including EPPP audit documents such as 7‑day notification letters and performance clocks.
  • Participate in Talent ID Group meetings, fixture planning meetings, and weekly scouts' meetings, carrying out other general recruitment administration as and when required.
  • Carry out scouting activities when required and directed by the Head of PDP & Emerging Talent Recruitment & Retention.
  • Maintain Scouts folders, ensuring all Academy Scouts documents are ready, including certificates and Club ID badges.
  • Collaborate with the Academy Technical Scout to manage the Academy scout schedules for U9‑B Team processing ticket requests and communicate relevant fixture information to staff.
  • Act as a point of contact for all scouting and recruitment staff for Scouting System Pro, aiding staff and managing any associated issues.
  • Manage all incoming scout requests for all age groups, being the point of contact in person on the day for the scouts attending Academy fixtures across all venues.
  • Provide high‑quality administrative support to the recruitment team and senior Academy staff on request.
  • Support administration for the recruitment team by monitoring CPD, safeguarding qualifications, photo ID, and other qualifications required for Academy category status.
  • Other duties reasonably requested by senior management.
  • Work with colleagues throughout Nottingham Forest FC to extend knowledge and skills, identify and develop best practice.
  • Take a proactive approach to maintaining service quality, evaluating work and seeking improvements.
  • Present a professional image in dealings with internal and external contacts, maintaining professionalism at all times.
  • Build successful professional relationships with players and staff while maintaining appropriate distance from playing staff.
  • Ensure the wellbeing and safeguarding of children and vulnerable adults, reporting any safeguarding concerns to the designated safeguarding officer or relevant senior manager.
  • Keep up to date with legislation and policies, communicating key changes to staff as appropriate.

Skills, Experience and Knowledge:

Essential:

  • FA Introduction to Talent Identification Certificate (FA TID Level 1).
  • FA Safeguarding Children certification.
  • FA CRB Enhanced Disclosure.
  • Degree or equivalent qualification, or relevant professional training or experience.
  • Experience of working with football regulations.
  • Experience working within an elite environment.
  • Knowledge of the Player Performance Pathway (EPPP).
  • Drive to achieve deadlines, organise and prioritise workload effectively, and continually review ways to improve efficiency and effectiveness.
  • Demonstrate skills and attributes in a PA/administration capacity.
  • Good verbal and written communication skills, able to understand and explain matters arising in own area of work.
  • Excellent interpersonal skills, maintain confidentiality, act with tact and diplomacy.
  • Willingness and flexibility to deal with urgent changes/demands while maintaining existing workload.
  • Excellent IT skills, including MS Office, intranets, web, and Outlook.

Desirable:

  • National Talent ID in Football Certificate (FA Level 2 TID).
  • Experience in health and safety duties appropriate to the role.
  • Flair for building internal and external networks, productive relationships and sharing ideas to improve working practices.
  • Skill at handling difficult situations and confidential matters according to policy, referring to others where necessary or appropriate.
