Nottingham Counselling Service (NCS) is a well-established charity dedicated to supporting the emotional wellbeing of individuals across Nottinghamshire. As we continue to grow and expand our impact,we’reseekinga meticulous and motivated Finance / Bookkeeper to help us manage our finances with accuracy and care.1 day a week office based with some flexible working.
Key Responsibilities
- Maintainaccuratefinancial records using QuickBooks, includingloggingand managing transactions related to counselling services.
- Prepare and issue invoices, process payments, and reconcile bank accounts.
- Monitor outstanding payments and follow up on overdue accounts.
- Collaborate with the Service Manager and CEO to manage cash flow, debts, and creditors.
- Allocate grants and restricted funds appropriately within project budgets.
- Ensure clear and compliant records for audits and financial reporting.
- Producetimelymanagement accounts and financial summaries for internal use.
- Support financial planning and reporting across NCS’s diverse projectsand services.
About You
- Experienced in bookkeeping and financial administration (experience in the charity sector is a plus).
- Proficient in QuickBooks or similar accounting software.
- Detail-oriented,accurate, and committed tomaintainingconfidentiality.
- A strong communicator who enjoys working collaboratively within a small, dedicated team.
- Familiar with the principles of restricted and unrestricted funding (desirable but not essential).

Nottingham Counselling Service (NCS) is a local mental health charity providing affordable counselling and psychotherapy to people across Nottingham and Nottinghamshire. Our aim is to make counselling accessible to everyone who needs it, regardless of income or background.
We are looking for a reliable and organisedBookkeeper to manage our day-to-day financial processes and support the charity’s accounting and reporting needs.
Main Purpose of the Role
To provideaccuratebookkeeping and financial support to ensure smooth financial operations, proper record keeping, andtimelyreporting to management and trustees.
Key Responsibilities
Day-to-day finance administration
- Processpayments, invoices, income, and receiptson a weekly basis.
- Enter all transactions intoQuickBooksor other accountingsoftware andfile supporting hard copies appropriately.
- Maintain and updateaccuratefinancial records and databases.
- Preparemonthly financial statements, includingcash flow,profit and loss, andbalance sheetsummaries.
- Assistin producingmanagement accountsand reports for the CEO, Service Manager, and Trustees.
- Help prepareyear-end accountsand work with the external accountant during audits.
Accounts payable and receivable
- Verify the accuracy of business accounts and report any inconsistencies or errors to the accountant.
- Record any discrepancies to support account reconciliation.
- Follow up on outstanding payments and ensure all receipts are logged correctly.
Payroll and expenses
- Prepare and processemployee wagesin line with payroll schedules.
- Manage and recordemployee expense claimsand ensure correct documentation and authorisation.
Support and collaboration
- Work closely with theCEOandService Manageron budgeting, grant tracking, and financial planning.
- Assist theAccountantwith administrative duties, reconciliations, and the preparation ofannual accounts.
Person Specification
- Experience in bookkeeping, finance administration, or accounting support.
- Good understanding of bookkeeping principles and double-entry systems.
- Competent usingQuickBooksor similar accounting software.
- Strong attention to detail and accuracy in data entry.
- Ability to handle confidential information responsibly.
- Organised, reliable, and able to work independently.
- Experience working within a charityornot-for-profitorganisation.
- Familiarity withgrant funding,restricted income, orcharity reporting.
- Knowledge of payroll and basic HR financial processes.
