To provide full administrative support to Managers within Nottingham CityCare Partnership Work effectively as part of an administration team. Dimensions Ensure team members are aware of own role and any new information for cover arrangements. To actively participate in Nottingham CityCare Partnership mandatory trainingand team specific training. Key Responsibilities To provide a reception service for all callers and visitors to the centre, dealing with and resolving face to face and telephone queries and passing messages and other information appropriately.

To undertake general clerical duties including but not limited to the collection and distribution of mail, bookings of appointments for clinical sessions, maintaining diaries and follow up procedures. To provide full administrative support to the Managers on a day to day basis. To have a good working knowledge of Microsoft outlook. To have a good working knowledge and experience of Microsoft Office in particular Microsoft Word to produce letters documents to RSA III or equivalent standard and Microsoft Access for developing in house databases.

To be responsible for answering and fielding telephone calls appropriately from a wide variety of sources where there may be barriers to understanding. To record telephone messages in writing and act promptly if urgent responses are needed. To accurately collate and input data and produce statistics as and when required.

To maintain diaries, make appointments, arrange meetings etc., as and when required. To undertake general office procedures including photocopying, filing and the distribution of mail as required. To implement and update office systems/procedures as required, in collaboration with the team. To provide administration support for the recruitment process as and when required.

To work effectively as part of a team to provide cover for other administration staff when required and to be flexible regarding working hours to meet the needs of the service. To be customer focused on behalf of Nottingham CityCare Partnership and ensure that the reception staff are welcoming and helpful to patients, clients and contractors. Bank to be available at short notice to meet the needs of the service for all services within CityCare.
