An exciting opportunity has arisen for a well-organised and resilient individual to join the Children and Family Services Business Support Team as a Senior Business Support Assistant. As a member of Children and Family Services, they will be required to ensure accurate inputting of high-quality financial and administrative data to support our Service Areas and work with and liaise confidently with a range of internal and external agencies to ensure children receive our services.
About the Role
As a Senior Business Support Assistant, you will join a friendly, motivated team committed to providing excellent customer service. You will provide back-up to colleagues across service areas and assist in handling urgent work on a daily basis.
Main duties and responsibilities:
- Undertake a range of financial routines, including imprest and p-card arrangements and monitor budgets associated with service requirements.
- Create, develop and maintain information systems and processes including Microsoft Office packages to produce reports and to support the administration of complex databases ensuring all necessary updating systems are in place, accurate and effective for auditing purposes.
- Provide a comprehensive range of business support services both administrative and secretarial functions.
- Utilise good organisational skills to co-ordinate local and statutory requirements and arrange statutory meetings.
- Take comprehensive minutes of sensitive and confidential meetings, including preparation of documents and information in readiness for the meeting, taking the minutes and distributing to professionals.
- Be the first point of contact for enquiries from schools, partners, voluntary and community organisations, agencies and members of the public, including generic inbox management on a daily basis.
- Line manage staff, including supervision and Annual Performance Review meetings.
- Prioritise your own workload to Statutory deadlines and work as part of a team.
About You

- Recognised Academic Qualifications e.g. 'GCSE', 'A' Levels, Vocational Qualifications in literacy and numeracy. NVQ 2 in Business Administration or equivalent.
- Trained and proficient in all aspects of Microsoft Office including the ability to use spreadsheets and perform basic data analysis.
- Good organisational, verbal and written communication skills.
- Excellent customer care skills and a full understanding of the need to maintain confidentiality.
- Ability to produce accurate work to deadlines, including notes of meetings and work effectively and efficiently whilst under pressure.
- Ability to establish and maintain working relationships and communicate effectively with staff at all levels.
- Ability to prioritise own workload and work under minimum supervision, with a flexible approach.
