The Events and Engagement Coordinator is a central member of the Notre Dame London team and contributes directly to raising the visibility of Notre Dame’s academic and research work in the United Kingdom. This role focuses primarily on the planning and delivery of academic and research-focused events, including lectures, seminars, symposia, conferences, and visiting scholar engagements, strengthening Notre Dame’s presence within London’s intellectual community.
Working as part of a small, supportive and close-knit team in London, and collaborating with colleagues from across the globe, the Events and Engagement Coordinator helps shape academic conversations by supporting events that connect Notre Dame faculty with UK-based scholars, institutions, and partners. The role also supports broader community-building and institutional engagement events and plays an important part in ensuring that programmes are aligned with Notre Dame London’s strategic priorities. This role will work across many areas of the organisation, interacting with leadership, faculty, external partners, students, and visiting guests.
Responsibilities- Plan and coordinate all aspects of events, including logistics such as venue arrangements, catering, security, audiovisual equipment, guest lists, and speaker requirements.
- Act as the primary point of contact for event-related enquiries, ensuring professional and timely communication with VIPs, guest speakers, internal colleagues, partners, and the general public.
- Provide on-site support during events, overseeing setup, technical support, guest registration, cleanup, and material breakdown.
- Serve as the liaison with the Notre Dame Alumni Club of London, coordinating collaborative events and maintaining positive working relationships.
- Support leadership engagement activities, including assisting with logistical arrangements for visits from senior University leaders and external partners.
- Collaborate with leadership to align event planning and engagement initiatives with the strategic goals of Notre Dame London.
- Build and maintain effective relationships with internal stakeholders, external partners, guest speakers, and collaborators to enhance event impact and institutional visibility.
- Contribute ideas to the Communications and Events team’s annual planning, identifying opportunities to expand or improve programming.
- Provide advice, guidance and support to academic and professional staff in the delivery of events.
- Develop and implement outreach strategies targeting local audiences to broaden participation in Notre Dame London events.
- Analyze and evaluate data to measure effectiveness of outreach efforts, adjusting strategies as needed.
- The postholder may be required to undertake additional duties that support the work of the Communications and Events team, as reasonably requested by leadership.
- Evening and weekend work will be required to support events; time off in lieu will be provided.
- Experience planning and delivering events.
- Experience managing logistical, administrative, and operational tasks associated with events.
- Experience liaising with event suppliers and vendors.
