Practice Group / Department Executive Management – London

The Role The Executive Assistant will provide comprehensive administrative and organisational support to the Central Services Leader and Leadership team. This role requires a highly organised, proactive, detail‑oriented individual who can manage multiple priorities and maintain confidentiality. Discretion is also vital as this role is privy to confidential information.

Key Responsibilities

  • Executive Support
    • Provide full administrative support to the Leader, including diary management, scheduling, and coordination of meetings.
    • Prepare agendas, take minutes, and track action items.
    • Coordinate local and international travel arrangements, including itineraries and logistics.
    • Screen and prioritise communications to ensure efficient time management.
    • Act as a liaison with other departments, facilitating smooth communication and prompt resolution of requests and issues.
    • Manage the set up and co‑ordination of team meetings (including preparing agendas, sourcing presenters, designing slides and running webinars).
    • Provide support to the UK based Central Services Leadership team.
  • Presentation & Reporting Support
    • Develop professional, high‑quality PowerPoint presentations for Executive Leadership, Board, and external stakeholders.
    • Assist in preparing monthly, quarterly, and ad hoc executive reports.
    • Ensure consistency in branding, formatting, and messaging across all presentation materials.
  • Administrative & Communication Support
    • Maintain organised filing systems (digital and physical).
    • Support with document preparation and internal communications such as Town halls and newsletters.
    • Update intranet/team pages, including coordinating and posting team updates and regularly updating organisation charts.
    • Organise team central services team social events.
    • Assist with project coordination and follow‑ups to ensure deadlines are met.
    • Handle confidential information with discretion and integrity.

Key Skills And Experience

  • Minimum 3 years’ experience in a Personal Assistant or Executive Assistant role.
  • Experience supporting senior executives or leadership teams.
  • Demonstrated experience creating presentations for executive or board‑level audiences.
  • Advanced proficiency in Microsoft Office Suite, particularly PowerPoint and Excel.
  • Strong ability to design executive‑ready presentations with attention to visual detail and storytelling.
  • Enthusiasm for tech‑enabled administration support.
  • Excellent written and verbal communication skills.
  • High level of professionalism and discretion.
  • Strong organisational and time management skills.
  • Ability to work independently and proactively anticipate needs.
  • Strong problem‑solving capability and sound judgment.
