The HR Coordinator will be responsible for performing a variety of administrative tasks, including record-keeping, data entry, scheduling, and reporting support, while providing coordination across HR programs and initiatives. The successful candidate will play a key role in ensuring the smooth operation of the HR function and the delivery of high-quality HR services to employees.
Key Duties/Responsibilities
- Maintain accurate and up-to-date employee records, including personal information, employment history, and benefits enrolment.
- Update and maintain HR information systems, ensuring data accuracy and integrity.
- Respond to employee inquiries related to HR policies, procedures, and programs, and direct inquiries to the appropriate HR representative as needed.
- Coordinate HR programs and initiatives, including training and development programs, performance management, and employee engagement activities.
- Support HR projects, including research and data analysis, and contribute to the development of HR policies and procedures.
- Manage HR calendars, schedule meetings and appointments, and coordinate travel arrangements as needed.
- Assist with benefits administration, including enrolment and changes, and respond to employee inquiries related to benefits.
- Prepare and distribute HR-related communications, including announcements, memos, and policies.
- Prepare and maintain basic HR team reports and dashboards, ensuring accurate data to support operational oversight.
- Maintain accurate records relating to Global Mobility activity, including tracking key dates and documentation.
- Support the administration of contractors, including contract set-up, extensions, and documentation tracking.
Coordination & Team Support
- Support administration for HR projects and improvement initiatives through tracking actions and maintaining documentation.
- Maintain shared HR resources, including templates, process guides, and FAQ documentation.
- Assist with arranging meetings, coordinating schedules, and preparing supporting materials.
- Contribute to maintaining consistent administrative standards across the HR team.
- Provide flexible administrative support across HRSS as business needs require.
Talent Management & Learning Administration
- Provide administrative support to the Learning & Development function through data entry and system updates.
- Upload learning records, maintain course information, and manage enrolments within the Learning Management System (LMS).
- Track learning completion and maintain accurate training records.
- Support scheduling and coordination of learning events and sessions.
Key Skills and Qualifications
- Bachelor’s degree in Human Resources or related field preferred, such as Level 3 CIPD.
- 1–3 years of experience in HR administration or related field.
- Strong administrative skills, including record-keeping, data entry, and scheduling.
- Knowledge of HR policies, procedures, and programs, with a basic understanding of employment laws and regulations.
- Strong communication skills, including the ability to write clear and concise messages and interact with employees at all levels of the organisation.
- Attention to detail, with the ability to maintain accurate records and ensure data accuracy and integrity.
- Computer skills, including proficiency in Microsoft Office and experience with HR information systems and databases.
- Ability to handle confidential information with discretion and always maintain confidentiality.
- Strong organisational skills, with the ability to prioritise tasks and meet deadlines.
- Teamwork skills, with the ability to work effectively as part of a team and collaborate with other HR representatives.
