Please be aware that the role is to cover our existing team leader, who goes on maternity leave at the end of September and is a fixed term contract of 10 months. We are seeking to recruit an enthusiastic, reliable and highly motivated Admin Team Leader to join our growing team, as maternity cover. This is a hands-on, dual role combining administrative duties with the day-to-day supervision of our dedicated admin team.

You will play a key role in ensuring the smooth running of administrative processes, supporting colleagues with workload management and workflow organisation. You will act as a senior point of contact within the team and take responsibility for overseeing day-to-day team activity and workload allocation, helping to prioritise and organise daily work while working closely with the management team.

Alongside team coordination, you will remain actively involved in core administrative duties, including clinical correspondence, LTC recall management, coding, scanning, task management, and patient registrations/deductions, ensuring all work is completed in line with practice procedures. This work is of a highly confidential nature and no information, either medical or personal, should be disclosed outside of Practice personnel.

  • Is aware of DQOF and recall systems and process for Long Term Condition Management.
  • Have experience with clinical coding and/or summarising.
  • Be confident supporting colleagues and coordinating day-to-day activity.
  • Have excellent communication, IT, and problem-solving skills.

About us: Northway Medical Practice is a recently CQC rated Good (April 2026) practice with a growing list size of 8,250 patients. Our strength lies in the diversity of skills and professional interests within our team. We have a multidisciplinary clinical team made up of Doctors, Pharmacists, First Contact Physios, Practice Nurses, Nurse Associates, Paramedics and Social Prescribers. As a training practice, we are committed to facilitating ongoing continuing professional development for GP Registrars and Foundation doctors alongside our core staff.

The role offers NHS Pension as well as generous annual leave of up to 6 weeks plus bank holidays per year, Pro Rata for part-time working.

Job responsibilities:

Responsible for: The postholder is responsible for the smooth and efficient running of the admin function. They will also provide support to the wider staff body. The post holder will help to maintain a happy and committed team.

Job Purpose:

The postholder will supervise and be part of a team of admin staff. As well as undertaking duties to cover workflow of all clinical correspondence, coding, scanning, managing tasks and all aspects of the registration process, the team leader will be responsible for overseeing the daily duties of the team, allocating work, undertaking regular one-to-ones, coordinating annual leave in line with practice policy and supporting return-to-work processes. With the support of our Practice Manager and management team, the postholder will work strictly in accordance with the practice admin and workflow protocols and timescales. Strong communication and customer service skills will be required with the ability to adapt to a busy NHS setting.

Person Specification:Qualifications:
  • Good secondary experience, with high level of English.
  • A demonstrable commitment to professional development.
  • All mandatory training up to date or willing to participate and complete.
Experience:
  • Practical experience of team leading an administrative and customer focused team.
  • At least 3 years recent experience of working with electronic filing systems within a GP Practice.
  • At least 12 months experience of managing DQOF searches and recall via EMIS.
  • At least 12 months experience of working with a supervisory role, preferably within a GP Practice environment.
DQOF:

Experience and confidence of managing DQOF searches and recalls.
