We are looking for a passionate and motivated Events coordinator to join our dedicated team at our exclusive‑use wedding and events venue in the heart of Northumberland. This hands‑on role provides an excellent opportunity to gain valuable experience in the dynamic events industry.

Working closely with our Events Manager and wider team, you will support every aspect of event coordination—from sales and administrative tasks to hands‑on management on event days.

Job Purpose

The Senior Events Co‑ordinator will be responsible for planning, organising, and delivering high‑quality events that align with organisational objectives. This role involves managing complex projects, supervising less experienced staff, and ensuring seamless execution from concept to completion.

Key Responsibilities

Administrative Support

  • Manage emails, phone calls, and social media inquiries professionally and promptly.
  • Follow up with clients and suppliers.
  • Prepare and issue quotes, contracts, and confirmations.
  • Schedule and coordinate client meetings and prepare function sheets.
  • Assist with invoicing for weddings and accommodation.

Event Preparation

  • Coordinate catering and beverage requirements for events.
  • Organise bar setup, stock drinks, and prepare glassware.
  • Prepare the venue for weddings, ceremonies, corporate events, and retreats.
  • Manage accommodation allocations and deposits.

On‑The‑Day Event Support

  • Welcome couples and assist with set‑up.
  • Coordinate suppliers and oversee adherence to the function sheet.
  • Maintain venue cleanliness and address any on‑the‑day issues.
  • Assist with key tasks such as cake cutting and toast pouring.

Post‑Event Duties

  • Break down event setups and start laundry for linens.
  • Send thank‑you emails to couples and request reviews.
  • Liaise with photographers and gain permission to use photos for social media.
  • Update company files with client reviews and photos from photographers with given credits.

What We’re Looking For

  • Strong organisational and time‑management skills.
  • Excellent written and verbal communication abilities.
  • A proactive attitude and willingness to learn.
  • Flexibility to work weekends and evenings as required.
  • Attention to detail and ability to multitask in a fast‑paced environment.
  • Ideally at least 1 year experience working in the hospitality and/or events industry.
  • Successful candidate must have transport to and from work due to rural location.
  • A degree in Event Management, Marketing, or related field is desirable (or equivalent experience).
  • Minimum 2‑3 years of experience in event coordination.
  • Proven track record of delivering large‑scale events successfully.

The position is five days a week, though the specific days off may vary depending on events. At present, we expect the working days to be Monday, Tuesday, Wednesday, Friday, and Saturday, with one or two evenings during the week for viewings. During busy summer periods, additional days may be required. Our working schedules are typically planned weeks—if not months—in advance. However, wedding season can become very busy, and we need someone who is committed to working any days required during that time.

What We Offer

  • 28 days of annual leave.
  • Hands‑on experience in a supportive and dynamic team environment.
  • Clear progression opportunities, including the chance to manage your own events once fully trained.
