Are you an experienced Executive Assistant with a background in life sciences, biotech, pharmaceuticals, or healthcare? Do you thrive in fast‑paced environments, supporting C‑suite executives and senior leadership? If so, this could be the perfect role for you. We’re looking for a highly organised, proactive, and detail‑oriented Executive Assistant to support two C‑suite executives. This role requires someone who understands the demands of working in a medical, scientific, or research‑driven setting, where priorities can shift rapidly, and discretion is essential.
What You’ll Be Doing:
- Executive Support – Managing complex diaries, scheduling meetings, and ensuring seamless day‑to‑day operations for the CMO and senior leaders.
- Stakeholder Engagement – Acting as a key liaison between internal teams, external partners, and high‑profile stakeholders in the biotech and healthcare ecosystem.
- Meeting & Event Coordination – Organising executive meetings, board meetings, and industry events, including logistics, agendas, and minute‑taking.
- Project & Compliance Support – Assisting with key projects, governance, and compliance processes, ensuring regulatory standards are met (e.g., GMC, NHS, HCP agreements).
- Travel & Expenses Management – Coordinating complex domestic and international travel arrangements, itineraries, and handling expenses with precision.
- Operational Efficiency – Driving improvements in administration, reporting, and executive processes to enhance productivity across the leadership team.
What We’re Looking For:
- Proven experience as an EA or Senior Administrator supporting C‑suite executives in a fast‑paced organisation.
- Industry experience in Life Sciences, Biotech, Pharmaceuticals, Medical Research, or Healthcare is highly preferred.
- Exceptional organisational and time management skills, with the ability to handle multiple priorities.
- Strong communication and stakeholder management skills, able to liaise confidently with senior leadership, board members, and external partners.
- Proficiency in Microsoft Office, SharePoint, CRM tools, and project management platforms (e.g., Asana, Trello, SAP, Oracle).
- High level of discretion and professionalism, especially when handling sensitive medical or scientific information.
