Weekly Hours: 37.5 hours / week - Hybrid working

We’re looking for a Vehicle Procurement Administrator to join our Asset Procurement team. This is a fast-paced, detail-focused role where you’ll help ensure vehicles are ordered, delivered, and invoiced accurately and on time. You’ll work closely with Asset Managers, Sales Managers, suppliers, and internal teams, acting as the key point of contact for delivery-related queries and proactively managing vehicle deliveries.

What you'll be doing:

  • Processing vehicle orders via the vehicle management system
  • Placing orders with manufacturers, dealers, and body converters
  • Proactively managing vehicle deliveries, expediting and escalating where required
  • Monitoring delivery reports and SharePoint dashboards
  • Identifying late or unacknowledged orders and chasing outstanding receipting
  • Acting as the main contact for delivery enquiries and changes
  • Supporting inbound volume planning, deferrals, and priority orders
  • Reviewing invoices and resolving queries with Finance and Purchasing
  • Assisting with non-standard vehicle quotations when required

What we're looking for:

  • Experience in an administrative or coordination role
  • Strong IT skills, including Excel and Microsoft applications
  • Excellent attention to detail and organisational skills
  • Ability to prioritise workload and meet deadlines
  • Strong customer service and communication skills
  • A proactive, flexible team player

Desirable: Experience in the automotive or vehicle hire industry, vehicle purchasing knowledge, and familiarity with Northgate systems, Microsoft AX, or SharePoint.
