We are looking for a Clinical Services Administrator to join our In-House Clinical Services team at Northgate Medical Practice. This is a full-time, office-based position working 37.5 hours per week, Monday to Friday, 08:00 to 16:30. Please note that working from home is not available for this role.
Main duties of the job:
- The successful candidate will coordinate clinic diaries, manage patient bookings and communicate with patients regarding their appointments.
- They will prepare and process clinical correspondence and referrals accurately and in a timely manner, using dictation software and clinical systems including EMIS and Docman.
- The role supports a range of In-House clinics including physiotherapy, ENT, ophthalmology, wet AMD and coil clinics.
- The role also involves liaising with hospitals and external providers, managing incoming calls and queries, and supporting the day-to-day running of the Clinical Services team.

Job responsibilities:
- To provide a high quality administrative and secretarial service to clinicians and the In-house Clinical Services team.
- The post-holder will be responsible for clinical services bookings, clinic diary coordination, the accurate and timely processing of clinical correspondence and referrals.
- This includes preparing and formatting dictated documentation, submitting referrals through the appropriate pathways, managing EMIS tasks and maintaining clinic records in line with Practice procedures.
- The post-holder will liaise professionally with patients, clinicians and external providers to support safe, efficient patient care, and will support the smooth operational running of In-House Clinical Services in accordance with service contracts.
- The role requires a high standard of confidentiality, professionalism and attention to detail at all times.
- The post-holder will undertake any other reasonable duties consistent with the role, as required to support the needs of the Practice.
Qualifications:
- GCSE English and Maths at grade C/4 or above (or equivalent)
- NVQ Level 2 or above in Business Administration or equivalent
Experience:
- Previous experience in an administrative role
- Experience of working in a busy office environment
- Experience of dealing with telephone enquiries professionally
- Experience of managing and prioritising a varied workload
- Experience working in a GP practice or healthcare setting
- Experience using EMIS, Docman or e-RS
- Experience of processing referrals and clinical correspondence
- Familiarity with medical terminology
