To provide an exceptional patient experience by managing the reception area and coordinating treatment plans. This dual role ensures smooth administrative operations, effective communication with patients, and support for clinical and managerial functions.
Responsibilities
- Manage the reception area during surgery opening hours, ensuring a professional and welcoming environment.
- Answer telephone calls promptly and courteously, book appointments accurately using the SFD system, and confirm appointments with patients.
- Greet patients, assist with forms (medical history, consent), and maintain accurate patient records.
- Process payments (cash, card, finance options) and issue receipts; reconcile daily reports.
- Handle administrative tasks such as typing, photocopying, scanning, and updating practice guidelines.
- Order stationery and medical supplies, monitor stock levels for antibiotics, whitening products, and sundry items.
- Maintain a tidy and safe waiting area, ensuring leaflets and posters are appropriate and well-stocked.
- Liaise with laboratories for dental work, manage deliveries and returns.
- Assist with patient transport arrangements when required.
- Ensure compliance with data protection and confidentiality standards.
Treatment Coordination Duties
- Meet new patients in a non-clinical setting to discuss treatment options before and after dentist consultations.
- Explain treatment plans, consent forms, and finance options clearly and professionally.
- Maintain accurate records of all patient discussions and treatment agreements.
- Arrange future appointments and follow-up calls to ensure continuity of care.
- Monitor and manage treatment conversions, recalls, and outstanding treatments.
- Take before-and-after photographs, collect testimonials, and conduct patient interviews for marketing purposes.
- Support marketing initiatives: social media posts, open evenings, and local advertising campaigns.
- Handle patient complaints professionally, liaising with the Clinic Manager for resolution.
- Ensure patient accounts are settled according to practice procedures.
Additional Responsibilities
- Assist the Clinic Manager with staff monitoring, compliance checks, and stock control.
- Cover reception or nursing duties when required (if GDC registered).
- Participate in weekly and monthly meetings, contributing to practice development.
- Uphold internal marketing standards and monitor patient feedback.
