Role / Department

An opportunity has arisen within Northern Trust’s Private Equity Operations team. This role sits within the administration team and supports the delivery of a high‑quality service to Private Equity clients, including complex structures and active investment portfolios. The Consultant (Senior Fund Administrator) will work closely with internal teams and Investment Advisors, managing cash management, investor administration, and client deliverables, while ensuring deadlines, controls, and KPIs are met.

Key Responsibilities

  • Client & Operational Delivery
    • Act as a primary point of contact for clients, Investment Advisors, and third parties
    • Develop a strong understanding of client structures and bespoke requirements
    • Deliver and coordinate key client tasks, including complex and project‑based activities
    • Work collaboratively with internal teams to ensure timely delivery of all client outputs
    • Resolve complex operational queries and escalate issues as required
  • Fund & Investor Administration
    • Perform end‑to‑end investor administration including capital calls, distributions, transfers, closings, tax reporting, and audit confirmations
    • Manage daily and ad‑hoc cash management, FX processing, invoice payments, loan facility amendments, and monthly reconciliations
    • Undertake AML/KYC reviews, including higher‑risk investors
    • Carry out signatory responsibilities, including review and approval of bank‑related updates
  • Team & Oversight Responsibilities
    • Manage assigned mailboxes and prioritise workload effectively
    • Support and review the work of junior team members
    • Provide on‑the‑job training and assist with task rotation across the team
  • Company Secretarial & Governance
    • Attend board meetings and prepare minutes
    • Support SPV formation and ongoing entity administration
    • Ensure adherence to constitutional documents, internal controls, and company policies
  • Risk, Controls & Process Improvement
    • Identify process improvements and operational efficiencies
    • Ensure effective use of systems and technology
    • Work with Compliance and Legal to maintain regulatory compliance
    • Escalate service delivery risks and operational issues appropriately
    • Act as a subject matter expert and support departmental initiatives as required

Skills & Experience

  • Previous experience as a Senior Fund Administrator, ideally with signatory responsibility
  • Strong understanding of fund administration and Private Equity structures
  • Excellent organisational skills with the ability to manage multiple priorities
  • Strong analytical and problem‑solving capability
  • Confident communicator, including presenting to small groups
  • Advanced Excel skills; Investran experience an advantage
  • Industry knowledge of financial instruments, regulations, and local laws
  • Business or financial services qualification (or working towards) desirable
  • Self‑motivated team player, able to work under pressure with minimal supervision
