Are you an experienced, highly organised PA who thrives in a fast-paced, senior-level environment? Do you enjoy being at the heart of strategic decision-making while ensuring everything runs seamlessly behind the scenes?
We are looking for a proactive and professional PA to our Senior Executive Directors to provide high-level executive support across meetings, projects, communications and compliance. This is a varied and influential role where no two days are the same.
The RoleYou will be the trusted right hand to our Senior Executive Directors, ensuring their time is maximised and priorities are delivered efficiently.
- Meetings, Scheduling & Diary Management
- Manage complex diaries and coordinate internal/external meetings, site visits and travel.
- Organise end-to-end logistics for SMT meetings, off-sites and all-staff events (venues, catering, materials and presentations).
- Take minutes at key meetings (including SMT and Housing Provider meetings) and distribute clear, accurate records.
- Track and flag key dates and strategic priorities in advance.
- Projects
- Coordinate new site development projects.
- Manage tender administration and framework updates.
- Ensure SLAs and key documentation are completed and recorded.
- Support project meetings, including minute-taking and liaison with external partners.
- Manage multiple projects concurrently with professionalism and strict confidentiality.
- General Administration & Team Support
- Oversee divisional SharePoint sites.
- Monitor and update QCS policies and databases.
- Support compliance for CQC and Health & Safety audits (Head Office registered address).
- Prepare executive-level reports, presentations and documentation.
- Support remote quality inspections.
- Manage complaints and compliments.
- Provide absence cover for the Executive Assistant.
- Communications
- Manage high-volume inboxes for Directors.
- Draft professional correspondence and proactively chase actions.
- Act as a key point of contact for external partners and contractors.
- Records & Documentation
- Maintain decision/action logs in line with regulatory expectations.
- Organise executive files, complaints records and SMT documentation.
- Maintain and update the executive contacts database.
You will:
- Have proven experience supporting senior leaders or executives.
- Be exceptionally organised with strong attention to detail.
- Be confident managing multiple priorities simultaneously.
- Demonstrate discretion and sound judgement.
- Be confident producing professional reports and presentations.
- Be comfortable working both independently and collaboratively.
- Be willing to travel to sites when required.
