Hi, we're Northern Gas and Power. Northern Gas and Power (a subsidiary of Global Procurement Group) is an international energy procurement specialist and is the largest energy consultancy in Europe. We guide businesses of all sizes ranging from SMEs to global organisations in purchasing their energy contracts.
As our Executive Assistant you will provide support to the Senior Leadership Team within the Baltic site, ensuring the successful running of business services. Your role involves co-ordinating risk and overseeing governance as well as managing calendars, scheduling meetings, and coordinating travel arrangements for the executive team.
You will also oversee the administrative activities that facilitate the smooth running of the office, organising people, information, and other resources. You will ensure that office equipment is maintained to the appropriate quality and quantity, relevant records are up to date, and all administrative processes work effectively.
EA Duties:- Support the Baltic Senior Leadership Team with diary management, expenses, travel, administrative and secretarial tasks, project management and facilitation.
- Project work when required.
- Support Global People Director with management of Baltic site alongside Health & Safety / Facilities team.
- Undertake company secretary tasks with the support from the Legal team.
- Manage the GPG global insurance policies, this includes collation of renewal information and making claims.
- Manage private healthcare Global and UK Policies, this includes collation of renewal information and making claims.
- Management of Company leases for office space.
- Manage the Company’s fleet and salary sacrifice car scheme.
- Supporting on policy development and review.
- Supporting the Legal team on signage of legal and financial documentation on behalf of the company.
- Liaising with key stakeholders on health and safety/ facilities related tasks, including when work is to be conducted on site and ensuring that appropriate paperwork is completed, and appropriate communications are sent.
- Liaising with the Facilities Team to ensure a clean and comfortable working environment.
- Provide an exceptional experience for all visitors on site including meeting and greeting guests, guest sign in, pro-actively organising visitor parking spaces in advance of meetings.
- Post duties – sorting post/arranging collections and returns of post or parcels when requested by the executive or senior team.
- Maintain a clean, welcoming reception area and provide a world class welcome service to visitors and colleagues.
- Support the Senior Leadership Team with any tasks associated with governance and risk when requested.
- Managing colleague car parking arrangements.
- Writing internal comms for site events, if required.
- Any ad-hoc duties deemed fit and appropriate from time to time in the context of the role.
Experience as an Executive Assistant / Personal Assistant for a Board Director is essential. Proficient in the ordering of office consumables and dealing with suppliers. A basic understanding of health, safety, and facilities. Working with travel booking systems. Flexible mindset with passion for change as company grows and develops.
