Responsibilities include:

  • Comply with Propertymark best practice and agreed Company Standards and procedures regarding all aspects of work.
  • Answer the telephone in a prompt, positive, professional & friendly manner.
  • Manage a portfolio of properties and take full responsibility for landlords' investments, providing professional recommendations regarding repair and maintenance.
  • Attend to property repair issues in a timely, organised, and pro-active manner, obtaining repair quotes/estimates from contractors where required.
  • Liaise with tenants, contractors, and landlords ensuring repairs are undertaken proactively and within a specified timeframe.
  • Process contractor bills for completed works in a timely manner ready for Accounts to make payments.
  • Ensure sufficient funds from landlords to cover larger works or when a property is vacant.
  • Keep landlords and tenants updated on all relevant matters.
  • Arrange renewal of gas & electric safety certificates for managed properties in line with landlord's requirements and legislation.
  • Ensure properties requiring any kind of licence have these in place.
  • Keep records of when Carbon Monoxide and Smoke Alarms expire and ensure they are replaced ahead of this date.
  • Keep respective property files and computer records up to date.
  • Discuss requests such as rent reviews, renewals, and vacating procedures with landlords promptly.
  • Deal with notice received from tenants and issue checkout procedure letters.
  • Book checkout appointments into the Property Inspectors diary.
  • Liaise with the Property Inspector following a checkout and arrange relevant quotes prior to reletting the property.
  • Handle amendments to existing tenancies.
  • Manage basic account enquiries from landlords and tenants.
  • Be aware of opportunities to promote other Mortimers/Ryder & Dutton Products & Services.
  • Serve relevant notices on behalf of the landlord with accompanying documents.
  • Ensure Right to Rent checks are completed if a tenant has a Time Limited Right to Rent due to expire.
  • Provide sales leads to Mortimers/Ryder & Dutton residential offices.
  • Promote insurance products such as Rent In Time and Tenant/Landlord Insurance.
  • Regularly check email for incoming enquiries and deal with them promptly.
  • Undertake other duties as necessary without altering the nature or level of responsibility.
  • Work as a team to meet business demands and Department KPIs.
  • Maintain and continually update personal knowledge of new legislation affecting the residential sales & lettings market.

The hours of work would be 9:00am - 5:00pm Mon-Fri with a 1 hour unpaid lunch break and Saturdays on a rota 10am-2pm. Salary £25,000 plus commission.
