The Personal Assistant provides high-level administrative support to the Managing Director and other key Senior team members by managing schedules, communications, and operational tasks. This role requires exceptional organisational skills, discretion, and the ability to anticipate needs in a fast-paced environment. Regular on-site presence is important; the position will be primarily based at Lawnswood Business Park with occasional flexibility to work from home depending on schedules.
Responsibilities
- Manage the MD's calendars, including scheduling meetings, appointments, and travel ensuring effective time management and preparation of meetings.
- Serve as a primary point of contact between the MD and internal/external stakeholders.
- Manage emails and the inbox of the MD.
- Prepare and edit correspondence, reports, presentations, and meeting materials.
- Coordinate and attend meetings as required; take minutes and track follow-up actions.
- Handle confidential and sensitive information with professionalism and discretion.
- Manage expense reports, invoices, and basic budgeting tasks.
- Organise files, records, and documents for easy access and compliance.
- Support special projects and initiatives as assigned.
- Assist in dealing with urgent maintenance issues across the business that cannot be managed by the central facilities teams.
- Assist with event planning, board meetings, and MD communications.
- Collation of board report information and weekly reporting in line with monthly and weekly deadlines.
- Anticipate the MD's needs and proactively resolve administrative issues.
- Research and organise teambuilding events – summer party, annual awards, charity events and other suchlike events and meetings.
- General head office management including monthly orders required and received.
- Maintain confidentiality and privacy at all times in respect of these and any other communications which are necessary and appropriate for the discharge of the role and responsibilities.
- Undertaking other duties not specifically stated which from time to time are necessary without altering the nature or level of responsibility.

- Demonstrated experience with high efficiency and accuracy of typing and reporting.
- Experience with diary and travel management.
