Northern Data Group are looking for an exceptional Office Manager & Executive Assistant to become the operational heartbeat of our London office. This is a dual role with a strong emphasis on Office Management & will be ideal for someone who loves creating structure, driving efficiency and building an environment where high-performing teams can do their best work. This is a hands-on role in a fast-moving environment & you’ll need to be proactive, solutions-focused and comfortable taking ownership.
YOUR RESPONSIBILITIES:
- Take ownership of the day-to-day operations of our Central London office (near Bank)
- Create a professional, efficient and welcoming environment for employees and visitors
- Manage vendor relationships, building management and service providers
- Oversee office budget, purchasing and invoice coordination
- Ensure health & safety compliance and facilities standards are maintained
- Coordinate onboarding logistics (workspace setup, access, equipment alignment with IT)
- Drive office improvements and process efficiencies
- Organise team events, internal gatherings and culture initiatives
- Act as the go-to person for all London office matters
- Travel monthly to our Dublin office to ensure alignment and consistency across locations
- Provide proactive diary and calendar management for senior leadership
- Coordinate internal and external meetings, including preparation of materials
- Manage domestic and international travel arrangements
- Support leadership meetings with agenda preparation and documentation
- Act as a trusted liaison across teams and stakeholders
- Handle sensitive information with discretion and professionalism
YOUR EXPERIENCE:
- Proven experience as an Office Manager, Workplace Manager or similar role (essential)
- Experience supporting senior executives in an EA capacity
- Highly organised with exceptional attention to detail
- Confident managing vendors, facilities and budgets
- Strong communication and stakeholder management skills
- Comfortable operating in a high-growth, evolving environment
- Proactive mindset with a “roll up your sleeves” approach
- Ability to prioritise and manage multiple tasks simultaneously
- Discreet and professional when handling confidential matters
- Experience in a technology, AI, SaaS or infrastructure environment (nice to have)
- Exposure to multi-office or international organisations (nice to have)
- Experience supporting C-suite executives (nice to have)
- Preferred: In-date First Aid training qualifications
