NWCare are recruiting an administrative assistant to provide administrative support to the branch across all departments, when required. To enter data from various source documents into the computer system for storage, processing and data management purposes. Work within GDPR legislation. The administration staff are part of the business continuity plan and job roles may change to meet business needs.

DUTIES AND RESPONSIBILITIES

  • To report to the HR Manager and Registered Manager in accordance with established guidelines
  • To provide administrative support to all departments
  • To answer calls and refer to correct person/department
  • Arrange interviews and participate in interviews
  • To book induction and update training
  • Ensure data is input into the computerised information system
  • Check source of documents for accuracy
  • Scan documents into document management systems or databases
  • Comply with data integrity and security policies
  • Have the flexibility to work in any of the NWCare branches should business needs dictate

CYBER SECURITY

The Employee shall not download unauthorised software, circumvent security controls, or take any action that may compromise the Employer’s network, particularly when working remotely. Any suspected security breach or 'phishing' attempt must be reported to IT Technician immediately. A failure to maintain cyber security standards or a breach of this clause may be treated as a disciplinary matter and, in cases of serious negligence, may constitute gross misconduct.

DATA PROTECTION

The Employee shall comply with the organisation’s Data Protection Policy when handling personal data in the course of employment including personal data relating to any employee, worker, contractor, customer, client, supplier or agent of the Employer. Failure to comply with the Data Protection policy may be dealt with under the Employer’s disciplinary procedure and, in serious cases, may be treated as gross misconduct leading to summary dismissal. Unlawful or unauthorised processing of data by an Employee during or after his/her period of employment with the company may constitute a breach of data protection legislation which may require notification to the Information Commissioner’s Office (ICO) and affected individuals. Data theft can constitute a criminal offence which can result in criminal conviction, fines and civil proceedings for compensation from affected parties.

  • A minimum of 12 months’ experience in a busy office environment
  • Good interpersonal, listening and communication skills
  • Diary management
  • Proficient in relevant computer applications such as MS Office
  • Flexibility to work in any NWCare branch, should business needs dictate
  • Ability to communicate effectively both verbally and in writing
  • Ability to deal with others effectively
  • Ability to plan and organise workload
  • Capable of working as part of a team but also working on own initiative
  • Good working knowledge of IT and telephone systems
  • Accurate keyboard skills and proven ability to enter data at the required speed
  • Knowledge of correct grammar, spelling and punctuation
  • Knowledge of clerical and administrative procedures
  • 2 years’ experience in a busy office
  • Experience of data inputting
  • Experience of telephone system
