We are looking for enthusiastic, flexible applicants to join our busy team supporting Sturtridge Labour Ward/Triage area. This is an exciting opportunity for efficient and motivated people to join our Maternity team. The successful applicants must demonstrate good communication and interpersonal skills and be willing to work in a very busy area. The team cover the 7-day, 24-hour service and work flexibly together to meet service needs. Knowledge of the NHS IT systems would be advantageous; however, training will be available. Your role will include a diverse range of skills which are required to support the efficient running of this busy area. We are seeking team players who can work under pressure and prioritise their own workload, whilst responding to the needs of the area. You will be joining a very supportive and committed team who strive to be the best.

Main duties of the job

  • To provide a confidential and high-quality support service to the Maternity Services, of both an administrative and practical nature.
  • The post holder will provide administration and clerical cover for other departments in maternity services when required.
  • You will be responsible for providing clerical/administrative support to a busy maternity area - predominantly Sturtridge labour ward/Triage area, using the IT systems to capture patient activity.
  • This is a busy, diverse role which requires excellent organisational and interpersonal skills.
  • The post holder also requires excellent communication skills to interact with patients/visitors and all levels of staff who work or visit the area.

Job responsibilities

  • To greet/welcome women and their partners/families to the Maternity Wards.
  • Answering telephone calls, giving and receiving messages. Liaising with midwife in charge of shift.
  • Answering security doorbell to allow identified parents/visitors and staff into the department.
  • Using ward clerks communication book, identify and prioritise workload for the shift.
  • Keep ongoing list of patients on the ward for Audit of notes location.
  • Tidying patients notes ready for medical records or other departments.
  • Tracking in/out any folders that enter/leave the department.
  • Using Mediview to scan records to file.
  • Using the computer (CaMIS) to admit/discharge patients.
  • Informing Estates/Electronics about maintenance work required on the ward and equipment failures to be fixed.
  • Help maintain supplies of ward stationery are stocked up in appropriate areas.
  • Ad hoc duties, at the discretion of the Senior Midwife.
  • Ability to prioritise and multi-skill across the shift.
  • Using Nerve centre.
  • Liaise and check safeguarding (CPIS).
  • Nexus allocation.
  • Baby registration.
  • Supporting Triage service.
  • Liaising with other maternity areas.
  • Community discharges out of hours.
  • Access to Badger net system.

Person Specification

  • Minimum 3 GCSE at Grade C or above, including English or equivalent.
  • NVQ 2 or equivalent experience.
  • Knowledge of office procedures.
  • Good written and verbal communication skills.
  • Courteous, tactful and efficient telephone manner.
  • Proficient in Microsoft packages including Word and Outlook.
  • Experience of working in a busy office environment.
  • Planning and organisational skills.
  • Work well within a team.
  • Working knowledge of Excel and/or PowerPoint.
