You will be part of a clerical team to support a defined team of Clinicians and provide a comprehensive, confidential administration support service to the Consultants, Medical Staff, Clinical team, and department on a day-to-day basis. With a key eye for details and exceptional typing skills, you will provide a service to turnover letters with target deadlines.

Main duties of the job:

  • Working Monday to Friday between the core hours of 08:00-17:00. Flexibility from core hours may be required depending upon the needs of the service.
  • You will be focused, motivated and independently working, taking direction from the medical secretary team.
  • Provide effective input into the work of the Trust, to support the achievement of our vision and values.

Job responsibilities:

  • Provide a comprehensive clinical support secretarial service to the Clinical Team to enable them to carry out their duties effectively and efficiently.
  • Take direction from the Administration Manager, Medical Secretary Team to meet the administrative demands.
  • Ensure all correspondence for the Clinical Team, including clinical letters, discharge summaries, medico-legal reports and results, minutes of committee meetings etc. are typed and dispatched promptly.
  • Answer telephones calls from patients.
  • The majority of the correspondence will be audio/digital dictation which is measured to a Trust turnaround target.
  • On receipt of test/investigation results, retrieve relevant patient notes and alert the Clinical Teams of any urgent or abnormal test results ensuring that relevant action is taken.
  • Attend meetings, as required (except Clinical Performance meetings) to ensure effective communication with all service users.
  • Demonstrate and supervise workplace activities to other members of the secretarial team as required maintaining a high standard of service to the Clinical Teams.
  • Ensure confidentiality is maintained in all communication and that documents and other sensitive information are always secure.
  • Use the relevant Trust databases and patient administration systems and ensure that all data is correct and up to date.
  • Provide general administrative services as required by the department.
  • Filing letters and reports in medical notes promptly and cross-reference whenever necessary and general office filing.
  • Photocopying, faxing, and posting documentation.
  • Receive and sort daily post, date stamp and distribute as appropriate.
  • Liaise with other hospital departments, GPs and other healthcare agencies when required.
  • Provide cross-cover within the administration team during absence and follow relevant organisational policies such as notification of sickness absence and participation in individual appraisal.

Person Specification:

  • Educated to Minimum 3 GCSE at Grade C or above.
  • RSA 3, Certificate in Medical Secretarial Studies or relevant secretarial experience.
  • Experience of Patient Administration System i.e. Camis or equivalent.
  • Significant experience working in an office setting.
  • Some NHS or healthcare administration experience.
  • Working knowledge of administrative procedures and typing support practices.
  • Skills: Organisation and time management, Ability to Audio-type, Excellent IT and keyboard skills.
