ROLE SUMMARY: The Fleet and Loading Supervisor reports directly to the Transport Manager (TM) and is responsible for supporting the TM with the day-to-day operation of the Transport Department to achieve business targets. The Fleet and Loading Supervisor provides leadership to the loading and delivery driver team, coordinating their workloads and offering support to ensure that the team delivers on time, every time, ensuring standards are met to meet the requirements of the customer. Additionally, the Fleet and Loading Supervisor assists the Transport office team in dealing with queries from customers, internal stakeholders and drivers in a timely fashion.

DUTIES ARE BUT NOT LIMITED TO:

  • Loading and Fleet
    • Supervise Loading Team with loading of completed product onto the delivery fleet.
    • Hold Class 1 (C+E) HGV qualification to assist TM with organising and actioning vehicle movements, including shunting rigid-body and articulated trunking vehicles within yard and to maintenance providers when no other driver is available.
    • Hold Class B2 Forklift Licence and ALLMI Lorry Loader (HIAB Crane) qualifications to assist with loading operations.
    • Cover leadership in North Transport office when TM is away on site in Northampton and ensure proper liaison with all management and key stakeholders.
  • Fleet Compliance
    • Assist the TM in compliance with all DVSA, DVLA, WTD and company-specific regulations, related to driver hours, vehicle maintenance and infringement management.
    • Assist the TM in managing HR, non-compliance and disciplinary issues within the driver team and acting as a main point of contact regarding driver sickness, accidents and vehicle issues.
    • Monitor the DAVIS system for automated driver licence checks and report any issues to TM.
    • Ensure delivery team are completing vehicle pre-checks within Company policy guidelines and escape any incidents of non-compliance to the TM.
    • Assist TM in conducting weekly collation of driver hours and auditing vehicle cleanliness, condition and equipment, maintaining standards and reporting back to TM on any issues of non-compliance.
    • Assist TM in ensuring delivery driver team comply with correct defect reporting process, reporting all defects and non-compliance matters for repair with maintenance providers.
    • Ensure vehicle and driver folders are kept up to date.
    • Ensure all vehicle servicing, MOT, RBT and LOLER tests take place in line with servicing schedule.
    • Assist delivery and loading team in new Northampton site with operation set up and best practice.
  • Loading Supervision
    • Through personal example, ensure loading team understand and comply to correct procedures and behaviours expected of them.
    • Carry out weekly quality audit on product loading, glass condition, banding and stillage condition.
    • Supervise loading bay safety, ensuring work areas are kept tidy and hazard free.
    • Liaise with production and QC teams to monitor and maintain product flow, minimising downtime.
    • Work closely with production to monitor stock flow, anticipate delays and report these to Customer Service and Transport teams.
    • Provide training and complete skill matrixes for new members on dispatch process.
    • Assist TM in delivering briefings and toolbox talks and participate in daily Transport morning meetings.
    • Investigate customer support cases pertaining to loading, giving feedback/coaching as required.
  • Transport Administration
    • Support the TM and Transport Planner with route planning and daily workloads, ensuring that the delivery driver team and company resources are utilised efficiently.
    • Take ownership of the courier dispatch and labelling process for all products leaving the production facility by third-party companies, such as DX.
    • Assist Transport Office team in ensuring that all information on Emax is correct and up to date.
    • Assist Transport Office team in responding to any emails and telephone calls as required, communicating effectively with customers and the delivery team.
  • HSE & Training
    • Ensure all work conducted by the loading team is in accordance with HSE and company compliance.
    • Undertake any training as deemed necessary by the Transport Manager (First aid, IOSH).
    • Assist TM and Loading Teams in completing daily yard walks to ensure cleanliness, reduce any potential hazards and ensure equipment is maintained and secured correctly.
  • Continuous Improvement
    • Feedback to the Transport Manager to share ideas and implement continuous improvement activities along with process and procedure improvements to optimise results and improve quality of delivery, in line with quality standards requirements and delivery in line with Company and Customer requirements.
    • Participate in team meetings as required (safety, problem solving, etc).
    • Any other reasonable duties as assigned by the Transport Manager.
