Main Purpose Of Job
To provide authoritative, proactive control of all Quality, Health, Safety, Security and Environmental (QHSSE) documentation forming part of the Company Integrated Management System (IMS), ensuring that all information is current, compliant, controlled, auditable, and always fit for operational use. The QHSSE Document Controller is responsible for ensuring integrity, governance, and effectiveness of Document control for all project specific requirements.

Reports directly to the Group QHSSE Manager
Key Work Areas Responsible For
- Due to the part-time nature of this role, responsibilities are prioritised toward:
- IMS integrity and compliance
- Daily document control activities
- Audit and regulatory readiness
- Project and change support as directed
Assist in changes to the Integrated Management System (IMS)
Establish and enforce document control governance in line with project requirements
Control the flow of information between internal teams, client systems
Prevent the use and circulation of obsolete, uncontrolled, or superseded documents.
Challenge non‑compliant practices relating to document handling
Review and process information exchanges, ensuring compliance with agreed standards
Maintain the Operational Master Document Register, ensuring real-time accuracy
Support project teams in compiling and issuing project deliverables and reports
Conduct routine health checks on the IMS to ensure documents remain accessible, usable, and audit‑ready.
Assist With And Manage Document Control Arrangements For
- Vessel acquisitions / New builds
- Charterers requirements & documentation control
- Management of change

Qualifications/Training & Personal Qualities/Characteristics
- Experience in marine, offshore, renewable or energy sectors.
- Proven experience in Document Control or Information Management
- Strong understanding of document management processes and information workflows
- Demonstrable knowledge of ISO standards in particular ISO 9001:2015
- Strong understanding of document management processes and industry best practices
- Hands‑on experience with Electronic Document Management Systems (EDMS)
- Strong understanding of controlled document lifecycles and audit expectations.
- Knowledge of QHSSE documentation types & auditable requirements
- Excellent written and verbal communication skills for effective collaboration
- Detail-oriented with a methodical and organised approach
- Self‑motivated and proactive, with the ability to work independently and take initiative
