An exciting opportunity has arisen to join our Medical Education Team at North Staffordshire Combined Healthcare Trust.

The role is to provide comprehensive Personal Assistant / Administrative support to the Chief Medical Officer and Medical Education, with a key focus on administrative support of the continuous development of our postgraduate doctors, and Personal Assistance / Administrative support to the Core Psychiatry Programme Lead and to produce the postgraduate academic programmes. You will facilitate, attend and minute monthly Senior Medical Team Meetings.

Main duties of the job:

  • Providing and receiving routine information which may sometimes require tact or persuasive skills.
  • Creating the CPD (Continued Professional Development) and Foundation / GPVTS programmes for medics and organising these.
  • Excellent organisational skills, working months in advance, supporting the facilitation of teaching on Wednesdays.
  • Working closely with the lead consultant for CPD to establish a beneficial teaching programme for medics.
  • Covering the work required in the Medical Education team.
  • Wednesday is a mandatory working day; other working days must be flexible to provide cover for the Medical Education Team and to attend Mock OSCE exams for medical students.

Job responsibilities:

  • Responding to emails/telephone calls.
  • Co-ordinating, planning and organising teaching programmes for doctors.
  • Acting on requests from doctors and using initiative to provide relevant information.
  • Setting up electrical equipment for teaching sessions.
  • Liaison with partner services and organisations outside the Trust.
  • Raising invoices for payment of speakers/trainers.
  • Assisting the Medical Education team.
  • A good understanding of Excel.
  • Working under pressure and problem solving.
  • Data input and the storage of attendance logs for medics requirements.
  • Maintaining and updating new suggestions from doctors.
  • Room bookings and setting up rooms.
  • Scheduling SMT (Senior Medical Team Meeting) in advance to include all relevant consultants and senior medics / clinical directors; attending monthly SMT meetings via MS Teams; preparing agendas and supporting chair in following up actions; taking minutes, recording and distributing documents following the meeting.
  • Preparing Core Psychiatry programmes; supporting Module Leads to complete the six-week module plans; liaising with assigned lecturers; managing payments due for external lecturers and simulated patients; managing online learning support available for trainees in preparation for exams; maintaining weekly contact with trainees in preparation for teaching; collecting and maintaining records of trainee attendance for ARCP; arranging and managing external mock CASC exams twice a year for core trainees; arranging simulated patients as required for communication skills, Mini Mock CASC for Year 1 trainees, CASC practice; leading advertising for module lead roles as and when they become vacant; arranging meetings with Module Leads as directed by Programme Lead; having weekly meetings with Programme Lead with updates and directives on matters requiring lead input.

Person Specification:

  • Achieved grades.
  • Experience with medics.
  • Microsoft Teams knowledge.
  • Minute taking experience/qualification.
  • Event/conference planning experience with face-to-face events.
