North Staffordshire Combined Healthcare are looking to recruit a fixed term, part time (22.5 hours per week, 9am-5pm Tuesday to Thursday), Band 3 Administrator to cover maternity leave to support the Staffordshire and Stoke on Trent NHS Talking Therapies Service based at the Hope Centre in Hanley.

You will be part of a team responsible for providing an efficient administrative service across the NHS Talking Therapies Service, providing seamless customer service to both internal and external customers. The role will work flexibly across the Portfolio, while holding a primary assignment. The role involves working with Talking Therapies clinicians, telephone and face to face contact with clients.

Main duties of the job

The Staffordshire and Stoke-on-Trent NHS Talking Therapies Service is an innovative primary care mental health service. We provide a range of evidence based treatments for people with common mental health problems in primary care, focusing on anxiety disorders and depression. A part time fixed term vacancy has arisen to cover maternity leave within our service for a skilled and motivated person able to work in a very busy admin team supporting the service. Ideally you will have experience of working in a health care setting and be familiar with a range of software packages. The role involves extensive telephone work with professionals and clients, therefore you will have good communication skills.

Job responsibilities
  • To be the first point of contact for clients, carers, GPs, identifying urgent calls and prioritising responses.
  • Dealing with enquiries which may at times be of a distressing nature and require sensitive handling.
  • Take and process a high volume of self-referrals over the telephone.
  • Contact service users to arrange assessment and treatment appointments on behalf of the Therapists.
  • Respond to service users and referrers.
  • Support the clinical lead in monitoring and reporting on caseload activity.
  • Support the clinical lead by producing reports/documents from different software applications.
  • Plan and prioritise work ensuring targets are achieved and monitored.
  • Initiate and respond to correspondence/e-mail.
  • Obtain, organise and monitor supplies in line with Trust policy.
  • Arrange and prepare for meetings, including minute taking.
  • Preparation/completion of routine documents, including letters, reports, presentations and forms e.g. purchase order requisitions, photocopying, filing.
  • Act in accordance of the Data Protection Act 1998.
  • Undertake other duties appropriate to the role as allocated by the line manager.
  • To liaise closely with the Band 4 senior administrator regarding role and service development and to seek clarity and guidance on administrative processes.
  • Provide advice, or demonstrate own activities or workplace routines to new or less experienced employees in own work area.

Qualifications
Good Basic Education to Include English Language
NVQ3 ECDL RSA II

Experience
Experience of working in a busy office environment
