They now have an exciting new opportunity for an experienced Business Systems Analyst to join their team.

Role Overview

Responsible for the administration, support and continuous improvement of the firm's core business applications and productivity platforms, including Intelliflo, Omniphi, Virtual Cabinet, Moneyinfo, Sage, Adobe and Microsoft 365, as well as other business applications. The role provides second-line support, resolves system issues, supports projects and works with colleagues, suppliers and the external IT provider to ensure systems effectively support business operations. The role will identify improvement opportunities and support the delivery of system enhancements, projects and technology initiatives.

Business Systems and Microsoft Administration & Support

  • Act as the subject matter expert for the firm's core business systems, including Intelliflo, Omniphi, Virtual Cabinet, Moneyinfo, Sage, Adobe and Microsoft 365, as well as other business applications.
  • Provide second-line support for system-related queries, incidents and enhancement requests.
  • Investigate, troubleshoot and resolve system, workflow and data issues in a timely manner.
  • Manage system configuration, user setup, permissions and access controls.
  • Maintain system documentation, user guides and support materials.
  • Liaise with software providers to resolve issues and escalate defects where required.
  • Monitor system performance and identify opportunities to improve stability, functionality and user experience.
  • Support the effective and consistent use of Microsoft 365 applications, including Outlook, Teams, SharePoint, OneDrive and associated tools.
  • Work alongside the external IT provider to manage user access, permissions and system administration activities.
  • Assist with the administration and ongoing development of SharePoint and collaboration platforms.
  • Work with the external IT provider to investigate and resolve issues relating to Azure Virtual Desktop (AVD) and VPN access.

Systems Improvement & Development

  • Identify opportunities and recommend practical solutions to improve operational effectiveness and optimise systems, processes, workflows and user experience.
  • Support the design, testing and implementation of system enhancements, new functionality and efficiency in line with business requirements and the direction of the Head of Operations.

Project Support & Delivery

  • Support the successful delivery of business, technology and systems-related projects.
  • Assist with requirements gathering, process mapping and solution development.
  • Coordinate and undertake user acceptance testing (UAT).
  • Support system upgrades, integrations, migrations and implementation activities.
  • Work with suppliers and colleagues to ensure projects are delivered effectively and meet agreed objectives.

Training & User Adoption

  • Develop and maintain system procedures, user guides and training materials.
  • Deliver training and support to colleagues on business systems and Microsoft 365 applications.
  • Support onboarding activities relating to systems, technology and ways of working.
  • Promote user adoption of new functionality, processes and technology solutions.

Liaison, Communications and Recordkeeping

  • Support the production and development of management information and reporting.
  • Assist in maintaining the accuracy, integrity and quality of data held within business systems.
  • Identify and help resolve data quality issues and inconsistencies.
  • Support data cleansing and system housekeeping activities.
  • Ensure all proposed system and operation changes meet business objectives and regulatory requirements.
  • Build and maintain effective relationships with software providers, suppliers and technology partners.
  • Act as a key point of contact for business system-related matters.
  • Coordinate issue resolution and enhancement requests with third-party providers.
  • Work collaboratively with colleagues across all departments to understand and support business requirements.

Person Specification

Qualifications & Experience

  • Essential: Educated to A level standard (or equivalent) as a minimum.
  • Experience supporting and administering business systems and applications including Microsoft 365.
  • Experience working with third-party software providers.
  • Desirable: Experience within an FCA regulated business or knowledge of financial planning operations.
  • Microsoft 365 certification or relevant IT, Business Systems or Business Analysis qualification.
  • Experience of Intelliflo and/or Moneyinfo.
  • Experience of CRM, workflow or document management systems.
  • Experience working with Azure Virtual Desktop (AVD), VPNs or similar remote access environments.

Knowledge & Skills Required

  • Essential: Understanding of business processes, workflows, data management, systems, administration and user support.
  • Good working knowledge of Microsoft 365 applications.
  • Strong analytical skills troubleshooting, problem-solving skills and attention to detail.
  • Excellent communication and stakeholder management skills.
  • Ability to identify and implement system and process improvements.
  • Ability to manage multiple priorities and work independently.
  • Ability to explain technical concepts to non-technical users.
  • Desirable: Process mapping and business analysis skills.
  • Training and user adoption skills.
  • Reporting and management information experience.
  • Experience supporting technology and business change projects.
