My client is a well-established wealth management firm, and they are seeking an experienced and detail-oriented Financial Services Administrator to join their growing team. This role is ideal for someone with 3+ years’ experience in financial services administration who is confident managing client documentation, liaising with providers, and supporting advisers with more technical aspects of financial planning. You will play a key role in ensuring efficient operations and delivering a high standard of service to both clients and advisers.
Key Responsibilities:
- Answering incoming calls and acting as a first point of contact for clients
- Welcoming clients into the office and preparing meeting rooms and refreshments
- Managing incoming and outgoing post
- Scanning, organising, and uploading documents to CRM systems
- Monitoring shared inboxes and handling correspondence
- Liaising with providers to chase outstanding information
- Maintaining the FCA daybook for advisers
- Processing letters of authority and organising policy documentation
- Supporting advisers with client file organisation and post-meeting administration
- Preparing portfolio overviews based on provider information
- Producing financial planning reports, including: Defaqto risk reports, FE Analytics fund research, CashCalc cashflow modelling reports
- Preparing annual review documentation, including: Portfolio valuations, Fund performance and analysis, Cashflow reports (where required)
- Assisting with business submissions and simple online applications
- Attending meetings with advisers where required to support the advice process
About You:
- Have 3–5 years’ experience in a financial services administration role
- Have a strong understanding of financial planning processes and documentation
- Be highly organised with excellent attention to detail
- Have strong written and verbal communication skills
- Be confident liaising with providers, clients, and advisers
- Be able to prioritise and manage multiple tasks efficiently
- Have experience using CRM systems and financial planning tools
- Have good working knowledge of Microsoft Office
- Experience with tools such as Defaqto, FE Analytics, or CashCalc

- £28,000 to £36,000 salary depending on experience
