About the role

The Coordinator will plan, organise and run activities, events and educational programmes for Make Music: Young People. They will support programme management, budgeting, safeguarding, and communication with students, parents, tutors and external partners.

Responsibilities

  • Coordinate the running of Make Music: Young People activities and events, compiling resources to meet outcomes and target objectives.
  • Liaise with students, parents/carers, tutors and other stakeholders via email, phone or in‑person.
  • Listen to the needs of children, young people and families to tailor the programme to their needs.
  • Contribute to programme planning sessions and other team meetings.
  • Represent the programme at cross‑organisation meetings.
  • Coordinate programme activities, events, communications and resources.
  • Timetable lessons, classes and workshops, including room and resource allocation.
  • Maintain systems and processes for effective programme management (Tessitura, Artifax, Xledger).
  • Support tracking and monitoring of tutor hours and maintain all records.
  • Assist the Programme Manager with budget monitoring, financial administration, invoicing and purchase orders.
  • Implement safeguarding policies and procedures to maintain high standards of safeguarding and pastoral care.
  • Promote and observe Safeguarding, Health & Safety, Customer Care, Equality and Diversity, and Dignity at Work policies.
  • Undertake other duties appropriate to the post and in line with the organisation’s needs.

Qualifications & Skills

  • Relevant professional experience in planning and coordinating activities, events or educational programmes.
  • Safeguarding in education contexts.
  • Good administrative skills and ability to manage own workload.
  • Excellent verbal and written communication skills.
  • Confidence in communicating with people from diverse backgrounds.
  • Effective problem‑solving skills.
  • Ability to work to deadlines and within budgets.
  • Calm, clear‑thinking under pressure.
  • Good IT skills – Microsoft Outlook, Word, Excel.
  • Attention to detail.

  • Experience of working in an arts setting.
  • Passion for music and music education.

  • Availability to work on Saturdays throughout term times and occasional other weekend days/evenings.
