We are looking for a motivated, reliable, conscientious and committed individual who can make a valuable contribution to our team. We are seeking a full-time Service Delivery Manager with HR management skills to work as part of our multi-disciplinary team to deliver a strong and supportive IT and Admin Support service and perform a wide variety of tasks to ensure service delivery and meeting contractual targets. The post holder should be computer literate (preferably with experience of SystmOne) and have at least three years primary care administration experience with experience at manager level. The post holder must have excellent communication skills, have demonstrable skills at managing a team, be organised, work well under pressure and enjoy working flexibly within a multi-disciplinary team setting. They should be able to multi-task and show initiative.

Main duties of the job:

  • Provide high level administrative support to the Practice to liaise with CSU, SystmOne and the registration authority for IT and Smart card queries.
  • Provide a main contact with the ICB, PCN and other external organisations, distributing mail appropriately and in a timely fashion.
  • Use SystmOne clinical system to run searches and reports to complete payment claims.
  • HR and logistical management of administrative team.
  • Record staff holidays, absence and training.
  • Organise staff training sessions and book staff onto courses.
  • Keep the practice website, intranet, leaflets, and information up to date.
  • Draft and send letters using large scale mail merge.
  • Interrogate data for audit purposes.
  • Maintain the appointment system and staff rota and set up templates in order to do so. To book locum staff as required.
  • Provide and maintain information required for public health targets. This will include data checking and liaising with the clinical team to improve performance.
  • Take part in practice performance related to recalls for patients.
  • Answer complaints in liaison with the partners.
  • Attend PCN and locality meetings on behalf of the practice.
  • Oversee patient registrations and deductions.
  • Any other appropriate duties as required by the Practice Manager.

About us:

This will be an interesting and varied role for a skilled and IT literate manager who would enjoy working in a small but busy urban GP practice. The role responsibilities require a methodical, level-headed approach who is comfortable working to multiple demands and priorities. The post holder will interact with the GP Partners, staff, patients and support staff on a daily basis so should have excellent interpersonal skills and be willing to support the whole team.

Job responsibilities:

  • At least three years experience working in a GP Practice administrative role.
  • Proven ability at managing a team.
  • Experience in complaints management.
  • Able to use Word/Excel/PowerPoint to a high level.
  • Experience of GP clinical software SystmOne.
  • Experience of producing rotas on SystmOne.
  • Experience of CQRS and Open Exeter.
  • Demonstrable knowledge of confidentiality, safeguarding, and health and safety.
  • A good understanding of general practice and primary care.

Person Specification:

  • Qualifications: At least three years experience of working in general practice with some experience at manager level including HR and rota management.
  • Experience in using SystmOne.
  • Disclosure and Barring Service Check: This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
