NHS North East North Cumbria ICB is a key part of the NHS in our region, working to improve the health and wellbeing of our local population, and ensure that all patients can easily access the care they need quickly and easily when they need it. An exciting opportunity has arisen within the ICB's Corporate Group. We are currently seeking an executive assistant to join our corporate business support team. This role plays a key part in supporting the delivering of our key objectives by providing high quality, efficient and effective business support to one of our Chief Officers.

Main duties of the job:

  • To undertake the role of Executive Assistant to Chief Officer/members of the executive team of the NENC ICB, providing the full range of secretarial and business support duties by delivering an efficient, high quality, confidential and timely service.
  • To provide comprehensive support for the effective planning, preparation and delivery of executive/committee level meetings, including the efficient production of minutes and action log in line with governance SOP or meeting Terms of Reference.

It has a wide range of functions, including; promoting integration of health and care services, improving people's health and well-being, reducing health inequalities. With a £6.6 billion budget and a workforce of 170,000 people across the North East and North Cumbria.

As well as strategic functions, ICB staff also work at place level with local health and wellbeing boards in each of our 14 local authority areas. These teams also work alongside our 67 primary care networks which are groups of local GP practices, social care teams and other community-based area providers. The ICB works with our Provider Collaborative too, this includes the 11 NHS Foundation Trusts in the region, to deliver our shared priorities.

Job responsibilities:

  • As an employee of the ICB, you will be responsible for ensuring the smooth running of the directorate office incorporating the vision and values into organisational and personal development including improvements to all procedures used across the department in relation to the position.
  • Booking venues, preparation of papers, agendas and minutes for a number of sub board level meetings.
  • The post holder will work in collaboration with members of the ICB management team, executives, non-executive directors, and partnership members.
  • The post holder will regularly liaise with local and national system organisations such as NHS England and local authorities, supporting and arranging visits, meetings, venues and transport for senior NHS executives when required.
  • The post holder will work closely with senior managers in the co-ordination of strategic reports, plans and projects to ensure departmental compliance with relevant assurance processes including reports to the board.
  • The post holder will ensure the team are compliant in all aspects of statutory and mandatory training to deadline; booking internal and external training courses for relevant staff.
  • Supporting where necessary any international work of the department through booking international flights and accommodation, coordinating transfers and visas when required.
  • The post will involve close working with other colleagues within the directorate to support the successful delivery of the team's responsibilities and priorities.
  • Demonstration of a professional image always, ensuring tact and diplomacy appropriate to a business environment.

Person Specification:

Qualifications:

  • Word processing and typing to RSA III or equivalent
  • High standard of general education to higher level diploma, degree or equivalent NVQ Level 3 in administration/qualification in secretarial studies or equivalent NHS experience

Experience:

  • Evidence of recent learning/personal development
  • Experience of working in a public sector organisation providing administrative/secretarial support to senior staff members
  • Experience of working with senior managers
  • Experience of working in an NHS organisation
  • Experience in supporting commissioning process and systems
  • Experience of using databases - inputting, extracting and collating information
