Overview
Team Secretary Band 3 – Up to 37.5 hours. Job share would be considered. A Team Secretary role has become available within the Surgical Care Collaborative on a full time basis; however, a job share would be considered. Working hours will be spread over 5 days. Previous medical terminology knowledge and knowledge of NCIC admin systems and processes, including RTT pathways and Textflow, are desirable.
Responsibilities
- Provide a full secretarial/administration service including audio/digital typing, filing and electronic filing systems, photocopying and scanning.
- Type clinics, discharge summaries and other internal and external correspondence on behalf of the clinical teams, ensuring all documentation is correct.
- Open and action consultants\' correspondence and respond accordingly.
- Maintain the consultants\' diary and arrange appointments and meetings, coordinating non-clinical meetings to fit in with clinical commitments and informing others of clinicians’ availability.
- Ensure theatre lists are used to capacity; compile theatre lists effectively to avoid wasted theatre/consultant time and cancellations.
- Select from waiting list replacement patients for theatre slots that become available due to short-notice cancellations.
- Prepare admission lists and contact patients and other relevant parties; arrange transport for patients where appropriate.
- Act as the focal point of communication for the Consultants and their team, maintaining confidentiality at all times and providing high standard secretarial and administrative support to the consultants, medical staff and their team.
- Interact with other departments, patients and GPs and assist in organising the consultants’ workload to ensure effective use of manpower and resources for smooth department operation.
Qualifications and Experience
- Desirable: Previous medical terminology knowledge; knowledge of NCIC admin systems and processes, including RTT pathways and Textflow.
- Experience in medical/clinical secretarial support, minute taking, and handling confidential information.
- Strong communication and organisational skills, with the ability to manage multiple priorities.
