Job Overview
As part of the safeguarding service administration team, the post holder will provide a comprehensive, efficient and effective service. The post holder is required to use initiative, planning and prioritising of their time to ensure that deadlines are met, providing administrative support, including inputting information onto electronic records and databases.
The post holder will provide cover and support for colleagues and administration staff during annual leave and sickness absence.
The post holder will contribute to a friendly, efficient, customer focused administration and secretarial provision for the safeguarding service, supporting achievement of local and wider Trust objectives, providing a professional service to staff when they are working with patients, relatives and carers ensuring they are appropriately assisted whether via face to face, telephone or other method.
Please note this role is based on-site at the Safeguarding Offices at Southmead Hospital.
Main duties of the job
1The post holder will provide comprehensive secretarial and administrative support to the corporate safeguarding team, including Named Professionals and Specialist Safeguarding Practitioners.
2This role involves managing information flow from divisions and external partners, arranging meetings, maintaining databases, updating electronic health records, and liaising with partner agencies.
TThe post holder will manage complex and sensitive information, provide training and support to colleagues, and ensure adherence to UK safeguarding legislation, including the Care Act 2014, Mental Capacity Act 2005, Working Together to Safeguard Children 2023, and the Children Act 1989/2004, and align with the NHSE Safeguarding Assurance Framework.

Knowledge, Skills And Experience
Essential criteria
- Knowledge of secretarial and administrative procedures and systems, acquired through training and experience to Vocational Level 3 or equivalent
- Knowledge of specialist functional/medical/legal terms, organisational policies, and procedures
- Experience in developing and maintaining computer-based office systems, including databases and Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams).
- Knowledge of IT and information systems in health settings (e.g., Careflow, Datix).
- Experience in providing administrative support in a busy and varied office environment, including content assurance of documents
- Knowledge of report formatting, data collection methods, and minute taking
- Experience in collecting, organising, and reporting data and facilitating meetings

- To communicate with people in a sensitive manner and ensure that the people you communicate with have understood the information, especially in situations where there may be communication or comprehension difficulties for cultural, language, physical, mental or other reason
