Overview
The Plastics and Burns Trauma Receptionist/Administrator Support role is to support the Plastics Trauma Coordinator and the wider team by providing reception cover and administrative support for the Plastics and Burns Trauma Service at Southmead Hospital. This includes creating referrals, booking patients into clinics, and processing patient movements in line with BNSSG ICB Policies.
Main responsibilities
- Support the Plastics and Burns Trauma Coordinators as part of a clinical team to ensure patients are diagnosed and treated in line with national guidelines and the trust\’s Patients Access Policy, including the NHS Constitution, emergency care, and Department of Health admission guidelines and booking rules.
- Book clinics in advance and verify patient details.
- Schedule new or follow-up outpatient appointments and ensure all relevant paperwork is completed; promptly and accurately record emergency attendances and outcomes on the appropriate PAS system(s).
- Deal with enquiries from all service users in a helpful, courteous and diplomatic manner.
- Ensure patient confidentiality is maintained at all times.
- Maintain regular communication with consultant teams, clinical staff and directorate management to enable efficient processes.
- Promptly answer telephone enquiries, relay messages in a polite and helpful manner, and take action as appropriate, including enquiries from patients, GPs and community hospitals.
- Provide cover for colleagues across the department during periods of planned annual leave and sickness.
- Undertake additional administrative tasks and responsibilities within the specialty/clinical division as required by the line manager.

The Plastics and Burns Trauma Service is a busy, fast-paced environment where teamwork is essential. This role is vital for day-to-day running and needs to be covered seven days a week to ensure reception is staffed and support is available to Coordinators and clinical teams. Depending on applicants, a number of colleagues may cover these hours. You must be a team player, able to use your own initiative, and willing to take on additional tasks as required by the service, including cover for other services.

The role requires working closely with colleagues, staff in other departments, GPs, patients and the general public; you should work well in a team and use your own initiative to provide high-quality administrative support within the Plastic Surgery team.

Education/Training/Qualifications
Essential criteria
- Educated to GCSE or equivalent
Desirable criteria
- Have a basic understanding of outpatient booking processes and/or a fundamental understanding of the NHS.
Work Experience
Essential criteria
- Experience of working as part of a team in a multi-disciplinary environment.
- Ability to demonstrate good patient care skills.
Desirable criteria
- Experienced in the NHS or similar organisation.
- Previous Outpatient and/or clerical experience.
Knowledge/Skills/Abilities
Essential criteria
- Excellent verbal and written communication skills
- Able to develop good working relationships amongst team, colleagues and staff
- Able to work flexibly to meet the needs of the service.
Personal Qualities/Special Circumstances
Essential criteria
- Willingness to learn new IT systems.
