Business Administrator – South West Norse
£28,579.20 (Pro-Rata, based on a 40 hour working week)
£13.74/hour

South West Norse work in collaboration with Devon County Council, partnering with a number of public and private sector clients across the Southwest to deliver a portfolio of TFM commercial services.
We are currently looking to recruit a Business Administrator to join our Exeter based team located at Venture House. You will be responsible to provide liaison and coordination of operations within South West Norse, supporting the property divisions’ ensuring there is an effective service.
Responsibilities
Main Tasks and Accountabilities
To assist on the updates of local project data on South West Norse project database (Timemaster) which includes but is not limited to:
- Contract values
- Fee values
- Project lead information
- Resourcing
- Producing reports for Director meetings and operational boards
You will also be responsible for:
- Ensuring all project data (time, expenses and disbursements) is up to date on the project database and recharged to clients where appropriate
- Provide technical support to South West Norse employees through effective resolution of queries and one to one support
- Dealing with all project related queries from both staff and clients
- Liaising with Project Leads on a regular basis to facilitate a sound understanding of projects, assist with resource planning, project performance and fee scheduling
- Update completion status of projects on a monthly basis following discussions with Project Leads and preparation of all supporting information to facilitate the generation of sales invoices on the Group finance system to specified deadlines, ensuring intercompany transactions are identified prior to group billing cut-off for external recharges
- Liaising with the Central Revenue team as required
- Provide reports from South West Norse project database to Project Leads and other Group staff as required assessing in particular project profitability and staff productivity
- Maintaining commissions, fee agreements/contracts, purchase orders, variation orders and all sundry correspondence with clients
- Raising purchase orders and updating relevant systems
Your experience
We are looking for you to demonstrate proven Office/Helpdesk, administrative experience. In addition to this, you will be able to show:
- Microsoft Office skills, including Word, Excel and Outlook
- Good written and verbal communication skills, comfortable liaising with clients and members of the public
- Previous experience processing invoices and orders would be desirable
- Capable of producing accurate documentation and reports
- Excellent Numerical skills
- Knowledge of construction or project management would be an advantage
- Ability to work to tight deadlines
- Attention to Detail
