About the role: We are seeking an organised and detail‑focused Information Sharing Officer to support the effective, lawful and timely sharing of information with partner agencies. To ensure the Force meets its statutory obligations under the Data Protection Act 2018/ GDPR and associated legislation, protocols and standards whilst sharing information with partners to achieve mutual objectives.
Main activities of the role (This list is not exhaustive):
- To act as the Joint Information Sharing Protocol (ISP) and Data Processing Agreement (DPA) SPoC for internal customers and external partners.
- Provide expert advice and guidance in respect of information sharing and liaising with Information Security and other relevant business areas as necessary.
- To assist in the development and management of the Policy/Procedures regarding Data Protection and Sharing of Personal Data, securing individuals’ rights under the Data Protection Act 2018/GDPR and developing and addressing information sharing requirements.
- Develop and maintain a central ISP/DPA repository ensuring it is complete, accurate, up to date and accessible to all staff and retain original signed copies of ISPs and DPAs.
- Work with other business areas to develop information sharing processes and provide accurate advice and guidance to ensure information is shared lawfully and appropriately.
- Raise awareness and promote the profile of ISPs/DPAs through the development of guidance tools, ISP/DPA templates and communicating new and amended versions.
- Develop and implement an ISP/DPA review plan, ensuring compliance with the plan and engaging with all key stakeholders.
- Cultivate good working relationships with external partners.
- Prepare regular performance reports for the Information Compliance Officer with exception reporting and making recommendations on information sharing processes and risks.
- Keep up to date with relevant information related legislation i.e. Data Protection Act, Human Rights Act and good practice/protocols/guidance/standards and being self-aware of national developments, both ACPO and non-policing organisations within area of business and communicate relevant updates to the Information Compliance Officer.
- Responsible for ensuring legal obligations within area of business are discharged and raising any concerns of non-compliance with the Information Compliance Officer through regular reporting.
- Any other duties that are commensurate with the role and grade as may be requested by line management.
Essential Criteria:
- Knowledge and practical application of the Data Protection Act 2018/GDPR and/or other legislations associated with the sharing of information.
- Significant experience in a customer service role.
- Good verbal and written communication skills with the ability to liaise effectively at all levels both within the forces and with outside agencies.
- Good planning skills with the ability to effectively organise, prioritise and review work to achieve deadlines.
- Ability to work positively in both a team and on own initiative.
- Experience of managing a multiple caseload with competing priorities and adhering to strict deadlines.
- Evidenced ability to create accurate documents, demonstrating excellent attention to detail.
- Evidence of ability to work with sensitive and confidential information.
Desirable criteria:
- Previous experience of drafting and implementing Information Sharing Protocols.
- Experience of working in a policing environment.
- Ability to travel as required throughout Norfolk and Suffolk and to other locations as appropriate.
