Overview

We are looking to recruit to our Delivery Suite team at the Norfolk & Norwich University Hospital. This is a role with flexibility in working patterns to ensure the service is covered 24 hours, 7 days a week. The successful candidate may cover other reception areas within Maternity and Paediatric sections as required due to sickness or annual leave. The post holder will provide a high quality reception and support service within an inpatient setting and will communicate effectively with patients, relatives, the general public and a wide range of multi-professional staff internal and external to the Trust.

To provide a support service to the technical staff, a versatile approach is essential with the ability to cope with many tasks simultaneously. If you are highly organised, methodical, enjoy patient contact and working within a team, this role offers a varied and exciting opportunity to make a difference for our patients. Knowledge of PAS is preferred but not essential.

Responsibilities

  • To provide clerical support and assist the Ward Manager or Deputy with admission/transfer and discharge of patients.
  • To greet and direct all visitors (patients, relatives, Chaplains) to the appropriate staff or patient.
  • To update the inpatient diary, ensure accuracy and correspondence with PAS, and keep records up to date in PAS (patients admitted, transferred, discharged).
  • Liaise with nursing staff over discharge, including collection of property from General Office, dispatching notes, and arranging transport to peripheral areas.
  • Prepare clinical coding forms, inpatient sick certificates and GP discharge letters for each patient episode; ensure documentation is complete at discharge and that discharge letters reach GPs within 24 hours.
  • Arrange follow-up outpatient appointments where appropriate.
  • Ensure admission procedures and regulations for Overseas Visitors are met, including EC patients.
  • Provide Bed Management with an accurate bed state on an agreed timely basis.
  • Handle all incoming non-medical telephone calls as appropriate, either delegating, referring, or returning calls; maintain confidentiality at all times.

Qualifications and Requirements

  • Experience in administrative or reception work within a healthcare setting preferred.
  • Ability to communicate effectively with patients, relatives, public and multi-professional staff.
  • Willingness to be flexible with working patterns and cover other areas as required.
  • Passport or visa status: note about UKVI eligibility for Skilled Worker Visa if applicable (this role does not meet UKVI eligibility requirements for a Skilled Worker Visa).
  • UK Registration for professional roles where required.
  • DBS check required for roles involving working with children or adults; cost may apply if salary is below threshold and if not covered by the NHS.
  • Ability to use PAS and other hospital systems as stated in the job description and person specification.
