Hours: Monday – Friday. 8.30am – 5pm Mon – Thurs and 8.30am – 4.30pm on Fridays.

About The Company

Our client is a successful and well-established business based in South Belfast. Due to continued growth, they are seeking an organised, proactive and customer-focused Front of House Coordinator/ Customer Administrator to join their team. This is a fantastic opportunity for someone who enjoys a varied role and thrives in a busy environment.

The position is split between Customer order processing and Front of House/Office coordination, making it ideal for an individual who is highly organised, confident dealing with customers and colleagues, and takes pride in maintaining a professional office environment.

The Role

The primary function of the role is to manage the order processing function, working closely with key customers, the Commercial and Field Sales Teams, and Supply Chain & Logistics to ensure customer requirements are met. You will be responsible for ensuring orders are processed accurately and efficiently, while working to daily cut-off deadlines. This is a fast-paced environment where strong time management, attention to detail and the ability to remain calm under pressure are essential.

The secondary element of the role is Front of House, where you will act as one of the first points of contact for visitors and customers while proactively supporting the smooth running and presentation of the office.

Key Responsibilities

  • Manage the day-to-day processing of customer orders accurately and efficiently.
  • Liaise with key customers regarding orders, requirements and queries.
  • Work closely with Commercial and Field Sales Teams to ensure customer demands are met.
  • Coordinate with Supply Chain and Logistics to ensure orders are fulfilled within agreed timescales.
  • Work to daily order cut-off deadlines and ensure there are no unnecessary delays.
  • Maintain accurate records and ensure all order information is processed correctly.
  • Proactively identify and resolve any issues that may impact customer requirements.

Front of House & Office Coordination

  • Manage all Front of House duties, including telephone calls, hospitality, meeting and greeting visitors.
  • Set up boardrooms and meeting rooms for internal and external meetings.
  • Manage the distribution of daily post.
  • Organise hotel bookings and other arrangements as required.
  • Ensure visitors and customers receive a professional and welcoming experience.
  • Proactively manage the general upkeep and presentation of the office.
  • Ensure printers and photocopiers are operational and liaise with suppliers when required.
  • Manage general office stationery and ensure supplies are maintained.
  • Ensure communal areas are kept clean, tidy and presentable.
  • Manage relationships with external suppliers to ensure all office requirements are met.

About You

The successful candidate will be a highly organised and proactive individual who enjoys working in a busy, customer-focused environment.

You Will Have

  • 1–2 years' minimum experience in customer planning, order processing or a similar role.
  • Experience working with ERP systems, with a high level of computer literacy.
  • Excellent attention to detail and a strong focus on accuracy.
  • Strong organisational and time management skills.
  • The ability to prioritise a busy workload and meet daily deadlines.
