We have an excellent opportunity available for you to grow your career and make a difference at Birds Eye! As Executive Assistant to the General Manager, you’ll be supporting with all secretarial and administrative duties as required.

Responsibilities

  • Effective management of a busy and complex diary.
  • Full support with functional meetings (attending them, managing the agendas, taking minutes).
  • Producing clear and accurate communication items plus all event support.
  • Managing all correspondence for the General Manager where required.
  • Working closely with the Office Manager/PA network to ensure consistency and coordination across the organisation.
  • Ensuring the GM’s time is optimised, liaising with colleagues and external partners to maximize capacity.
  • Acting as gatekeeper where appropriate to minimize unnecessary draws on time.
  • Overseeing efficient preparation of meetings and trips attended by the GM, anticipating potential issues, processing solutions, and proactively gathering materials needed.
  • Providing administrative support to the GM, collating contributions into a report or briefing as needed.
  • Producing first drafts of basic correspondence.
  • Serving as a bridge for smooth communication between the GM and internal departments.
  • Supporting logistics or other requirements of events where necessary – booking venues, catering, and on-the-day support.
  • Attending face-to-face meetings where required; minute taking, sharing decisions and ensuring action log is cleared.
  • Budget Management - raising POs, invoice checking, organising approvals, receipting, and raising new vendor documentation.

Qualifications

  • Experienced PA/Executive Assistant at a senior executive level, used to working in a fast-paced environment.
  • Strong organisational skills with the ability to multitask and prioritize tasks.
  • Focused on getting results, embrace learning and bring positive energy, combining initiative with a sense of teamwork and collaboration.
  • Previous experience of event organisation and the management of budgets.
  • Able to work with people at all levels of the organisation.
  • Possess good judgment and ability to maintain confidentiality.
  • Proactive, motivated, enthusiastic, and a self-starter.
  • Excellent IT skills – PowerPoint, Word, Outlook, Excel.
  • Flexible in approach to working hours when required.
