Role Terms

Salary:Band B - £24,307.67 to £24,546.49. Starting at £24,307.67 per annum (pro-rata based on 37 hours Full-Time Equivalent)
Hours:25 hours per week - Monday to Friday 9.30am to 2.30pm, alternatively Monday to Wednesday 9.00am to 3.00pm and Thursday 9.00am to 4.30pm but can be flexible
Role type:1 year fixed term with a view to making permanent subject to contract fundings

Your Role

Our ideal candidate will need to have experience of working with confidential and sensitive information, talking to young people, parents and professionals on the phone or in writing and have experience of entering data on to a database.

The role will take a lead with answering the phones, actioning email enquiries, referral processing, data entry and stationery ordering. On occasions there may be a requirement for the role to include late building cover to help support our Therapeutic Services Volunteer counsellors, this would be no later than 8pm.

There will be times when the Admin Office is extremely busy with requests with short deadlines so being calm under pressure and able to prioritise your workload will be essential.

The role can be very busy and challenging but also highly rewarding working within a supportive team.

Your key responsibilities will include:

  • Managing telephone correspondence and communications, ensuring that messages are passed promptly to the appropriate member of staff, taking messages and acting as the first point of contact to the Charity.
  • Greeting and welcoming visitors into the buildings.
  • Data inputting and contributing to the recording and entering of statistical information, as well as quality checking and processing referrals for different services.
  • To coordinate and record attendance of Youth Worker lone worker visits.
  • To ensure you comply with Data Protection requirements when storing and sharing confidential/sensitive personal data relating to staff, volunteers, and other service users.
  • To assist with sending out and receiving sensitive referral information using the secure mailing site.
  • To action promptly the various shared enquiry mailboxes, to monitor and direct emails accordingly or action.

You’ll have the essentials of:

  • Experience of working within an administration role in a busy office environment.
  • Experience of dealing with a diverse range of people face to face, by phone and electronically.
  • Experience of working in a confidential environment.
  • Competency in using IT systems, including Microsoft Office and Databases.
  • Able to work unsupervised and be flexible and adaptable to meet changing demands.
  • Demonstrate effective organisational skills with an ability to prioritise workload and have a methodical and efficient approach.
  • Able to work whilst under pressure, meeting deadlines and maintain accuracy, despite frequent interruptions.

You may also have:

  • Knowledge of GDPR legislation.
  • Ability to maintain a wide range of appointment calendars.
  • Ability to identify workflow problems and suggest recommendations.
  • Enthusiastic, with good time management.
